Position:
Real Estate Administrative Coordinator
Salary:
$70,000 - $75,000

Key Responsibilities:
Executive Support:
  • Oversee and manage the calendars, appointments, and travel arrangements for executives.
  • Coordinate and schedule meetings, conferences, and special events for the executive team.
  • Prepare and organize materials for meetings, presentations, and reports.
  • Act as a liaison between executives and both internal and external stakeholders, including clients and vendors.
  • Handle confidential and sensitive information with utmost discretion and professionalism.

Administrative Support:
  • Perform administrative duties such as managing correspondence and responding to emails.
  • Maintain accurate records, files, and databases for the executive team.
  • Prepare and process expense reports, invoices, and other financial documents.
  • Conduct research and gather information as required by the executives.
  • Assist with special projects and initiatives as assigned by the executive team.
  • Manage incoming and outgoing mail, emails, and phone calls.
  • Support executives with various personal tasks as part of this role.
  • Undertake additional tasks and projects as assigned.

Qualifications:
  • Bachelor's degree in Business Administration (BBA) or a related field.
  • Experience in the real estate sector is advantageous.
  • A minimum of 5 years of executive administrative experience supporting senior management.
  • Proficient in Microsoft Office Suite, including MS Word, MS PowerPoint, MS Excel, Outlook, and Google Chrome.
  • Advanced Excel skills, including VLOOKUP, HLOOKUP, XLOOKUP, PivotTables, and Macros.
  • Ability to create and edit documents and PowerPoint presentations based on executive guidance.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Capability to thrive in a fast-paced environment and adapt to changing requirements.
  • Integrity and discretion in handling confidential information.
  • Excellent written and verbal communication skills.
  • Detail-oriented with a high level of accuracy in work.
  • Proactive and resourceful problem solver with a positive attitude.
  • Flexible schedule to accommodate out-of-office meetings and events.
