POSITION SUMMARY
As an HR Information Systems Specialist, you will report to the Manager of HR Client Services. This role requires a strong analytical approach to identify inefficiencies within systems and processes, proposing effective solutions through clear communication and collaboration across various teams. This position offers the flexibility to work remotely while actively contributing to our HR initiatives.

KEY RESPONSIBILITIES

System Configuration & Maintenance

  • Oversee the configuration and maintenance of the HR Information System (HRIS) to align with ongoing business requirements.
  • Collaborate with Labour Relations and HR teams to manage system updates in accordance with collective agreements.
  • Ensure accurate setup based on contract stipulations and collective agreement implications.

Benefits Administration:

  • Administer and manage payments for employee benefits programs, including health, wellness, and retirement plans.
  • Serve as the primary contact for benefit remittances related to union employees.
  • Maintain the benefits module within the HRIS, ensuring all supporting documentation is up to date.
  • Ensure compliance with applicable regulations and company policies.
  • Analyze and resolve discrepancies in benefit calculations and payments.
  • Work closely with payroll and finance teams to ensure accurate processing and forecasting of benefits.

System Security and Support:

  • Provide technical assistance and troubleshooting for HRIS users.
  • Manage user access permissions and security protocols.
  • Develop user guides and training materials to facilitate effective system use.
  • Partner with IT and HR teams to implement system enhancements.
  • Conduct regular security audits to ensure compliance with internal policies.
  • Document workflows and system configurations for future reference.

Auditing and Data Integrity:

  • Perform routine audits to ensure data accuracy and integrity.
  • Establish an audit plan to systematically review system operations.
  • Generate reports related to membership, payments, and benefit enrollment.
  • Provide insights based on data analysis to enhance HR processes.
  • Identify and correct discrepancies found during audits.

WHO WE ARE LOOKING FOR

  • 3-5 years of experience in a System Analyst or similar capacity.
  • Proven expertise in analysis, design, and development.
  • A bachelor's degree in Human Resources, Business Administration, or a related field.
  • CHRP designation or progress towards it is a plus.
  • Experience in managing benefits in unionized environments.
  • Proficiency with HRIS platforms, particularly ADP Workforce Now.
  • Experience with HRIS implementations and upgrades.
  • Advanced skills in Excel and data analysis tools.
