Position Overview

We are seeking a dedicated Administrative Assistant to provide comprehensive support within our organization. This role is essential for ensuring smooth operations and effective communication across various departments.

Key Responsibilities
  • Education: Completion of a college, CEGEP, or other non-university certificate or diploma program lasting 1 to 2 years.
  • Administrative Duties: Organize and coordinate seminars, conferences, and other events.
  • Manage and oversee budget planning and expenditures.
  • Supervise and guide junior staff members.
  • Establish and enforce office policies and procedures.
  • Document and prepare minutes for meetings and events.
  • Develop and implement office procedures and routines.
  • Oversee job classification and evaluation processes.
  • Design and execute recruitment strategies.
  • Handle contract management and negotiations.
  • Answer and relay telephone calls and messages.
  • Analyze employee data and information for management review.
  • Respond to electronic inquiries promptly.
  • Compile and maintain data, statistics, and relevant information.
  • Provide advisory support to senior management.
  • Order and manage office supplies and inventory.
  • Negotiate collective agreements on behalf of the organization.
  • Oversee payroll processes and administration.
  • Arrange travel itineraries and make necessary reservations.
  • Type and proofread various documents and correspondence.
  • Conduct data entry tasks accurately.
  • Deliver exceptional customer service.
  • Collaborate with the marketing team to convey marketing messages effectively.
  • Maintain and manage the digital database.
  • Perform basic bookkeeping functions.
  • Consult with clients post-sale to ensure ongoing support.
  • Evaluate workplace environments and procedures to enhance safety and efficiency.
  • Supervise office staff and volunteers.
  • Assign, coordinate, and review projects and programs.
Supervision

Responsible for supervising a team of 3-4 individuals.

Experience Requirements

Minimum of 1 year to less than 2 years of relevant experience.

Work Hours: 40 hours per week
