Position Overview

We are seeking a dedicated Administrative Assistant to provide essential support within our organization. This role is pivotal in ensuring the smooth operation of our office and assisting various departments in their daily functions.

Qualifications
  • Education: Completion of a college, CEGEP, or other non-university certificate or diploma from a program lasting 1 to 2 years, or equivalent experience.
  • Experience: A minimum of 1 year to less than 2 years in a similar role.
Key Responsibilities
  • Organize and coordinate seminars, conferences, and other events.
  • Oversee and guide the work of other staff members.
  • Develop and enforce office policies and procedures.
  • Provide training and support to new employees.
  • Document and prepare minutes for meetings, seminars, and conferences.
  • Establish and maintain office procedures and routines.
  • Design and implement effective recruitment strategies.
  • Manage scheduling and confirmation of appointments.
  • Handle incoming calls and relay messages efficiently.
  • Respond to electronic inquiries in a timely manner.
  • Gather and compile data, statistics, and relevant information.
  • Address employee inquiries and resolve complaints.
  • Perform data entry tasks accurately.
  • Deliver exceptional customer service.
  • Assist in the recruitment and hiring of staff.
  • Coordinate and review various projects and programs.
Supervisory Responsibilities

Supervision of a team comprising 3-4 individuals.

Work Environment

This is a permanent position requiring a commitment of 40 hours per week. The primary language of work will be English.
