Overview: The primary responsibility of the individual in this role is to execute a variety of technical administrative functions within the domain of educational organization and oversight. This position involves providing assistance to support personnel and users.

  • Student Admissions and Progress Tracking: Maintains up-to-date knowledge of college offerings, entry requirements, and student records, while executing technical tasks related to the admissions process.
  • Information Systems Management: Serves as a key resource, ensuring proficiency in computer systems pertinent to student records, diagnosing issues, and proposing enhancements for service efficiency. This includes managing requests for system automation, drafting internal protocols, and delivering training to relevant stakeholders.
  • Course Scheduling and Program Management: Coordinates educational activities by coding courses and competencies, inputting them into information systems, updating academic programs and course outlines, and ensuring the accuracy of course-related data such as prerequisites and equivalencies.
  • Academic Records and Evaluations: Aids in the documentation and retrieval of academic performance, processes requests for diplomas, and compiles statistical data and recommendations.
  • Data Management for Regulatory Compliance: Oversees the processing and validation of data required for submission to educational authorities, managing both student and pedagogical information.
  • Timetable Coordination: Occasionally engages in the planning of course schedules and examinations, rectifying discrepancies, and generating schedules for students and faculty while adhering to scheduling constraints.

Qualifications:

  • A diploma of college studies (DEC) in administration with a relevant specialization or a DEC in secretarial studies with an appropriate focus, or an equivalent qualification recognized by the relevant authority.
  • Proficient in Microsoft Office Suite and specialized database management applications (minimum passing score: 60%).
  • Familiarity with the development of information systems.
  • Ability to create schedules based on provided data and constraints (minimum passing score: 60%).
  • Strong command of spoken and written French (minimum passing score: 60%).

Compensation: $24.21 to $32.32 per hour
