This is a full-time, on-site role in Ottawa, working Monday to Friday.

Position Overview

We are seeking a detail-oriented and proactive Operations - Administrative Assistant to support our operations team and ensure the smooth day-to-day functioning of administrative tasks. The ideal candidate will be highly organized, a strong communicator, and able to multitask in a fast-paced environment. This role is critical in maintaining the efficiency of our operations and enhancing the productivity of our team.

Responsibilities

Administrative Support:

1. Provide comprehensive administrative support to the operations team, including managing schedules, organizing meetings, and maintaining records.
2. Prepare and edit correspondence, reports, presentations, and other documents as needed.
3. Track and report on key performance metrics for the operations team.
4. Act as a point of contact between operations staff and other departments or external stakeholders.
5. Ensure timely resolutions to queries from Finance to Operations for a variety of issues.

Fulfillment Management:

1. Act as backup for the Operations Customer Support role.
2. Update sales order log as required.
3. Correspond with customers regarding order fulfillment dates and manage changes.
4. Create sales order confirmations based on Operations delivery schedules and send to customers.
5. Act as customer advocate to facilitate customer requests.

Qualifications

Education & Experience:

1. High school diploma or equivalent (Associate's or Bachelor's degree preferred).
2. 2+ years of experience in an administrative, operations, or office management role.

Skills:

1. Excellent organizational and time-management skills.
2. Detail-oriented with a problem-solving mindset.
3. Strong written and verbal communication skills.
4. Strong Excel skills required.
5. Familiarity with project management and SAP software is a plus.
6. Ability to handle confidential information with discretion.
