As an Office Administrator, you will perform a variety of reception, secretarial, insurance, and data entry duties for patients in a stress-free, comfortable environment. Answers telephones, schedules appointments, handles patient finances/payments, maintains patient records, and coordinates patient flow. Promotes a safe, pleasant, and harmonious environment for staff, doctor, and patients.

Additional Responsibilities:

- Greet patients on the telephone and in person
- Address new patient “inquiry” phone call and convert it into a booked consultation appointment
- Record new patient phone call: personal information, insurance information, general dentist information, etc.
- Set up new patient charts
- Schedule a new patient consultation appointment
- Welcome a scheduled new patient consultation into the office
- Welcome a walk-in potential new patient into the office
- Welcome our existing patients when they come for their appointment
- Scheduling appointments for our existing patients
- Reminder phone calls
- calling patients to remind them of their appointments
- Addressing/ Managing a patient when s/he is late
- Managing a missed appointment patient
- Re-scheduling a late patient, if needed
- Re-scheduling a missed appointment
- Discuss and sign contracts with patient/parent at treatment start appointment.
- Accept, collect and record payments made by patients/parents, and print receipts
- Review charges with patient and collect payments
- Input patient financial data, charges and payments into computer
- Customer Service Representative
- trained to deal with any customer service issue and refer to Orthodontist only when needed. Reports all customer service concerns directly to Office Manager/Orthodontist.
- Cleaning up and tiding up the office
- Controlling inventory of front-desk supplies
- Ordering general supplies for the office
- Other duties/reports/projects as assigned

Hours are as follows: Monday 7:30-5:30, Tuesday 7:30-5:30, Wednesday 9:30-7:30, Thursday 8-5, Friday 7:30-3:30. Hours may change in the future.

All employees will be enrolled in our health benefits plan after 90 days.
