**Who We Are**

Carty House is a friendly and welcoming communal residence providing transitional housing for female refugee claimants and convention refugees. We offer accommodations, safety, and support to our residents as they move through the refugee and immigrationsystem and build the resources necessary to live independently. During their stay, we provide our residents with referrals to education, counseling, and other support services including language instruction, employment training, job search programs, cultural integration programs and activities.

**Position Summary**

The Volunteer Coordinator ensures the effective administration and operation of the Carty House Volunteer Program including volunteer recruitment, screening, orientation, placement, training, recognition, scheduling, and retention.

**MAJOR RESPONSIBILITIES**
- Recruit, screen, onboard, train, orient and support volunteers including coaching and mentoring and assessment of required skills
- Develop/update volunteer onboarding and training materials and job descriptions
- Plan, develop and evaluate a variety of volunteer programs and activities including evaluating the impact and contributions of volunteers, and the volunteer program, to ensure the needs of all stakeholders are being met
- Send out request for volunteering opportunities
- Schedule and coordinate volunteer assignments, and collaborate with staff and residents to determine upcoming volunteer needs (sufficient to meet demand)
- Coordinate and oversee any volunteer activities that take place inside or outside regular working hours such as evenings and weekends.
- Maintain volunteer schedule, database, program records and policies to ensure continuity of standardized documentation and record management practices
- Supervise volunteer work and communications -provide regular progress updates-successes, issues and challenges related to volunteer management and engagement
- Set up and conduct meetings with volunteers on an as needed basis
- Plan and coordinate volunteer appreciation opportunities such as thank you cards or events
- Liaise with staff as well build connections with external stakeholders/organizations regarding volunteer engagement opportunities.
- Contribute volunteer program-related information and content for social media to the Outreach Coordinator
- Ensure volunteers are aware of any applicable policies
- Organize and ensure proper storage of donations of clothing and other donated items including inventory documents updates
- Oversee the general upkeep of the interior aesthetics of the facility (interior and exterior) in terms of painting, decorations (permanent and seasonal), gardens, clients’ rooms, etc. with help of volunteers
- Establish and maintain an inventory and replacement schedule of furniture and equipment
- Supports and assists other staff as needed

**KNOWLEDGE AND COMPETENCIES**
- Strong understanding of effective volunteer engagement strategies.
- Strong oral and written skills.
- Highly organized, independent, and self-directed, with the ability to manage multiple simultaneous priorities.
- Strong problem-solving skills and the ability to seek out solutions to challenges, with a continuous improvement perspective

**EXPERIENCE EDUCATION AND OTHER REQUIREMENTS**
- Minimum 2 years of experience in volunteer coordination in a paid or unpaid capacity, preferably in a non-profit
- Personal volunteer experience
- Experience working with marginalised people
- Certificate in Volunteer Management an asset
- **WORKING ENVIRONMENT AND TRAVEL**
- Most of the work is performed in an office environment. Some duties may be performed at offsite events.
- Activities occasionally take place outside regular working hours and during evenings and/or weekends.
- Due to the requirement to attend off site events at irregular hours, it is imperative for this position to have their own vehicle and a valid “G” license.
- **PHYSICAL REQUIREMENTS** Please note there are some physical requirements to the job such as climbing stairs, lifting, and standing.

**LANGUAGE REQUIREMENTS**
- Excellent verbal and written English skills are required. The ability to speak and write in French or other languages is an asset.
