**Position Overview**:
The Canadian Wildlife Federation (CWF) is seeking a Volunteer Coordinator to join our small Human Resources team. In support of CWF’s youth education programs WILD Outside and Canadian Conservation Corps, the Volunteer Coordinator will be responsible for the recruitment, screening, training, coaching, recognition, and reassignment of our adult volunteers (aged 18 and up) across Canada, as well as establishing a volunteer network to develop and maintain relationships with our short

Supporting the Human Resources department, the Volunteer Coordinator will:

- Be a self-starter and work largely independently and as part of a team.
- Ensure that volunteers are prepared for full participation in programs.
- Continuously seek opportunities for volunteer involvement.
- Coordinate recruitment and onboarding for volunteers.
- Prioritize increasing representation and participation within our volunteer network.
- Make recommendations to HR team on volunteer intake process.

**Qualifications**
- Passion for community engagement and development.
- Similar or relevant experience in recruitment, coordination, and/or intake. Experience in volunteer management would be ideal.
- Relevant Diploma, Degree or equivalent experience is preferred. Certification in Volunteer Management would be preferred.
- Knowledgeable and resourceful in volunteer procedures and best practices.
- Experience with Office 365 (MS Word, Teams, Outlook, Excel, PowerPoint).
- Experience working with databases.
- Strong attention to detail.
- Strong communication skills both written and verbal.
- A friendly and outgoing professional demeanor.
- Ability to multi-task and onboard several individuals at once.
- Ability to maintain and build lasting relationships with volunteers.
- Communication in English is required

- Bilingual English/French is preferred. Any additional language(s) would be an asset.
- Some experience (personal, professional, or volunteer) in the outdoors, outdoor recreation, coaching, camp counselling and community service groups.
- Good writing and research skills.
- Some experience in project management and organization.

**Core Duties**
- Volunteer Intake_
- Recruit volunteers to reflect Canada’s diversity and preparing them for their position.
- Coordinate completion of appropriate volunteer paperwork.
- Ensure all volunteers have recent and valid Police Record Checks at the appropriate level of clearance.
- Submit expense claims to finance on behalf of volunteers when reimbursement is required (fees for police checks, etc).
- Post new or vacant volunteer opportunities online.
- Conduct brief interviews with all new volunteers.
- Conduct reference checks.
- Create, update, and maintain electronic volunteer files.
- Assign volunteers to supervisors.
- Assign volunteers appropriate tasks based on their experience and preferences.
- Assist volunteers through intake procedure, including the police check verification process.
- Provide volunteers with a clear job description of their tasks, responsibilities, and duties.
- Working alongside various teams to draft and update job descriptions when needed.
- Effectively train volunteers on the programs they’re involved with, and duties being performed in collaboration with their supervisor or designated trainer.
- Ensure all legally required paperwork and training is completed, such as Health and Safety and Accessibility for Ontarians with Disabilities (AODA) training.
- Reporting_
- Update, track, and report volunteer statistics and trends using our database (Dynamics 365) and reporting system (Power BI)
- Identify areas to improve the volunteer intake process and volunteer experience.
- Provide CWF staff with all information required in relation to their volunteers.
- Maintain a list of all volunteers and regularly update CWF staff on currently active volunteers.
- Inform HR with updates on volunteer intake, issues, resolutions, challenges, and successes.
