Reporting to the Director, Communications & Partnerships, the Communications Coordinator assists in the planning, organizing and implementation of communications strategies (internal and external) that support The Royal’s strategic priorities and clinical and research programs. The Communications Coordinator is a key collaborator helping to connect partners across the organization in executing powerful communications tactics, campaigns and events.

The Communications Coordinator is a member of the communications team, which supports The Royal’s purpose to expand access to a comprehensive, evidenced-based continuum of mental health care through cutting-edge communication practices, creative strategies, and innovative approaches to audience engagement.

**Duties**:
**Accountability #1: Internal & External Communications Support**
- Maintain a communications calendar
- Support creation and distribution of internal and external newsletters
- Responsible for quality design and timely distribution of weekly internal newsletter, working with communications specialist
- Support external newsletter content development and distribution as needed, working with writer and graphic designer
- Support and lead, where appropriate, internal communications activities.
- Support external campaigns through content development, coordination, media engagement, etc.
- Coordinate external and internal special events and activities, including, but not limited to managing invitations, agendas, and event collateral; providing support to speakers; and arranging and overseeing internal and external resources for audio-visual needs, printing, translation, catering, entertainment, etc.
- Media Relations activities:

- Coordinates media monitoring including filing, data entry/database management, tracking, and distributing key coverage.
- Updates and maintains list of media contacts.
- Coordinates production and dissemination of media alerts, news releases, pitches, and other media materials as required (includes reviews, formatting and translation).
- Conducts research for the purposes of response to media inquiries and other relevant activities.
- Works with director of communications and other team members to fulfill media requests.
- Coordinates media training.
- Monitors, coordinates, and sometimes posts content on The Royal’s website, bulletin boards, and digital monitors.
- In collaboration with digital media coordinator, helps to monitor and coordinate content for The Royal’s social media accounts

**Accountability #2**:Health Promotion Activities Support**
- Provide logístical and administrative support for health promotion events and campaigns such as public information sessions, Be In The Band (youth music and mental health program), and The Royal’s Mental Hygiene Challenge
- Note, this will include come shifts outside regular weekday working hours.
- Track event/campaign data for post-event reports to outline impact for stakeholders

**Accountability #3**:Communications Coordination & Team Support**
- Provide administrative support including, but not limited to, invoicing, billing, budget tracking, time keeping, vendor and supplier relationship management, etc.
- Coordinates internal requests for communication services
- Responds to public requests for The Royal’s experts to speak at public or corporate events; helps to coordinate, edit and uphold brand standards on any external presentations.
- Oversees various communication tools/technologies (i.e. Mailchimp, Grammarly, Survey Monkey, etc.) including liaising with vendors, managing billing and accounts/licences
- Monitors and coordinates responses to messages received in The Royal’s general communications inbox and other community and staff inquiries/comments/feedback.
- Plans and coordinates tours and visits by external delegates in coordination with partners across the organization.
- Maintains contact information of The Royal’s stakeholders and community partners
- Coordinates data collection and reporting for communications campaigns, projects and initiatives
