As an Executive Administrative Assistant, you help carry out administrative activities for your sector.

You provide administrative and secretarial support to a senior executive leading a business line or major support function. You also provide administrative support to other members of your unit as needed. You actively help coordinate, plan and prioritize your unit’s management activities.

Your work involves complex relationships and business priorities. You interact with a wide variety of stakeholders. You proactively and independently make decisions and carry out tasks in accordance with your superior’s administrative needs. The ability to communicate effectively and tailor your approach as needed is therefore essential.

General Information on the Position

Main responsibilities- Perform various administrative activities, including but not limited to writing, schedule management, note taking, task tracking, following up, presentation formatting-
- Perform various administrative tasks related to internal management (sales monitoring, dashboard, monitoring of expenses, inventory and material management, performance reviews, etc.)Coordinate the preparation of deliverables intended for decision-making bodies-
- Assist with the coordination of presentations for various stakeholders-
- Coordinate meeting briefings, write minutes and take charge of distribution and the resulting follow-ups-
- Arrange meetings with external and internal stakeholders, often including executive level participants, sponsors and partners-
- Engage & leverage a highly effective network of other assistants, key employees, external vendors, HR, and IT to help quickly solve scheduling conflicts and address team needs-
- Driving continual improvements in work-space / process / technology to enable highest efficiency-
- Managing budgets, payments, sponsorships, event management-
- Coordinates meetings, schedules appointments and makes travel arrangements.- Other working conditions- The work arrangement for the position is hybrid work #LI-Hybrid-

- A minimum of three years of relevant experience- Please note that other combinations of qualifications and relevant experience may be considered- For vacant positions available in Quebec, please note that knowledge of French is required- Specific knowledge- Expert knowledge of Microsoft Outlook, Excel, Word, PowerPoint; experience with Office365 apps such as Teams-
- Strong communication skills in both French and English, both oral and written due to the nature of the duties or work tools or because the position involves interactions with english-speaking partners, members and/or clientsDesjardins Cross-sector skills
