**PSA Halifax **is recruiting for an **Executive Administrative Assistant and Communications Coordinator**

PSA Halifax Limited Partnership (PSA Halifax) is a container terminal operator owned and operated by PSA International. With natural deep water, capability to handle any sized vessel, year-round ice-free access, and a management team with diverse international experience, PSA Halifax is the container terminal of choice on Canada's East Coast. This position offers an exciting opportunity to be part of a highly successful and leading container terminal operation in the East Coast of Canada.

**Purpose**:
The primary function of the Executive Administrative Assistant and Communications Coordinator is to support our Senior Managers and the Commercial Team of PSA Halifax and to provide high-quality administrative and clerical assistance.

**Principal Accountabilities**

Senior Management
- Organize, schedule and manage travel itineraries, hotel accommodations, and transportation requirements for members of the Senior Management Team and out-of-town visitors to PSA Halifax;
- Organize corporate meetings and events and staff functions as required;
- Prepare and execute expense claims;
- Other administrative duties as required.

Communications Department
- Provide administrative support to the Commercial Team, including but not limited to preparation and typing of contracts, correspondence, schedules, and notices to the Shipping Lines and trucking industry;
- Assist in the development of presentations, internal and external corporate documents for both Senior Management and the Commercial Team;
- Arrange corporate and customer events for such events as Halifax Port Days, customer and industry functions, golf tournaments, etc;
- Act as the administrative point of contact between the Commercial Team, Shipping Line and Stakeholders;
- Maintain up-to-date customer database.

**Critical Qualifications/Skills/Experience**
- Must have experience arranging various areas of travel (domestic/international, business/holidays, group/individual) from beginning to end;
- Experience managing back-end Social Media to grow business page;
- Forward thinking and creative with exceptional communication skills;
- Strong organizational, project management and planning skills with exceptional attention to detail and accuracy.
- Demonstrated ability to meet deadlines in a fast-paced quickly changing environment with a proactive approach to problem-solving and strong decision-making skills.
- Professional and friendly demeanor
- Reliable and task-oriented, self-motivated and professional.
- Experience exercising discretion and confidentiality with sensitive company information.
- Two years proven experience as an Executive Administrative Assistant reporting directly to Senior Management
- Advanced Microsoft Office skills with an ability to become familiar with company-specific programs and software (Outlook, Word, Excel, PowerPoint, SharePoint, One Drive)
- Familiarity with HRIS systems is considered an asset.
