Reporting to the Executive Lead, Clinical Transformation and Executive Lead, Health System Sustainability, the Administrative Assistant to the Executive Leads provides confidential, administrative services with a high quality of organizational and communication skills to assist and support the Executive Leads in ensuring the efficient and effective operation of the program/service areas on a daily basis. The Administrative Assistant functions as a primary point of contact for the Executive Lead’s office and provides support and oversight for administrative operations and all related activities. He/she may also provide general administrative coverage in the absence of other support staff within the Executive Lead’s portfolio.
The Administrative Assistant contributes to the effective functioning of the offices of the Executive Leads by ensuring high quality standards are met and maintained in regard to documentation and communications originating from this office. The Administrative Assistant ensures seamless communication with the Executive Leads’ office with staff and internal/external customers and ensures business of the Executive Lead’s office is conducted in a fiscally responsible manner.
This role also provides administrative support for the Executive Leads in relation to Board of Director’s sub-committee meeting reports and other reports and presentations as required. In addition, this role helps support IWK Health participation in HRM Smart Trip program and the Health System Sustainability intranet. Key responsibilities include:
**Responsibilities**:
- Reviews, plans, and organizes the Executive Leads’ calendars and schedules, arranges travel and performs other administrative duties as requested
- Prepares and edits PowerPoint presentations and other reports/documents as required by the Executive Leads, including materials for Board / Board Committees and annual Environmental, Social and Governance (ESG) and sustainability reporting
- Provides administrative support for team meetings, committees or working groups as required; takes meeting notes/minutes and coordinates logistics for meetings, including appointment, room bookings and virtual technological requirements
- Oversees the administrative functions of the HRM Smart Trip program, including the EPass program
- Provides administrative support for the Human Resource needs including posting positions, completing paperwork, checking references, arranging interviews, assisting with onboarding, coordination of performance management reviews and attendance management. May enter payroll information into the respective time system and assist with the collection of direct report timecards
- Coordinates Executive Leads’ approval of documents, contracts, invoices, etc.
- Serves as initial contact/resource person for both Executive Leads. Acts as liaison between both Executive Leads, other members of the senior management team, direct reports and all other internal or external partners. Direct contact with Executive Leadership Team, Directors, Managers and employees
- Reviews and drafts correspondence, determining the priority of the communication, bringing to Executive Leads’ attention issues of particular relevance or urgency
- Demonstrate excellent relationship management and a superior customer service focus as the first point of contact for the Executive Leads from internal and external stakeholders and partners
