Reporting to the Associate Executive Director, this pivotal role supports all aspects of the Senior Leadership Team

by providing general office and administrative support in an efficient, timely and confidential manner. The

Administrative Assistant supports the vision, mission, values and strategic direction of the Centre, and due to the

nature of the position, regularly has access to highly confidential staff and organizational information. The

Administrative Assistant is part of a team of dedicated professionals who provide client-centred service in ways

**Position Summary**
- Under the direction of the Associate Executive Director, provides a full range of administrative/secretarial assistance, supporting various matters including but not limited to the preparation of correspondence, reports, minutes, coordinating and scheduling appointments and meetings.
- Plans and coordinates the clerical and administrative support functions of the Executive Director, Associate Executive Director and Budget Coordinator.
- Screens and responds to telephone inquiries and in-person visits from the public, clients, suppliers, staff and external agency representatives.
- Relays messages, records details and refers to appropriate individuals.
- Receives incoming mail and directs it to appropriate recipients and follows up as needed/directed.
- Prepares a variety of documents including but not limited to reports, letters, memos and schedules.
- Participates in meetings, prepares agendas and takes and prepares meeting minutes.
- Coordinates meeting room schedules and refreshments as required for meetings and training.
- Books and coordinates travel arrangements and registrations for attendance at conferences and conventions for

the Senior Leadership Team.
- Extensive communications using Microsoft Office, Google Workspace, social media platforms, virtual meeting

platforms, and databases.
- Maintains an inventory of office supplies and ordering/purchasing as needed, according to procedures.
- Other related duties as assigned by the Senior Leadership Team members.

**Required Qualifications and Expertise**
- Post-secondary education degree or diploma, with a focus in Office Administration, Business Administration, or

another program deemed suitable by the NFAMC.
- Formal training in the following: Office Procedures, Office Management Practices, Customer Service and Computer Programs is required.
- Additional training is an asset in the following: Case Management, Gender-Based Analysis (GBA+), Human Trafficking, Conflict Resolution, Prevention/Management of Aggressive Behaviour, Mental Health First Aid, Suicide Intervention,

Motivational Counselling Techniques, Crisis Prevention & De-escalation, Non-Violent Crisis Intervention/Counselling, Anti-Racism & Anti-Oppression Capacity Building, Building Inclusive Communities, LGBTQ2S+, Positive Spaces, Cultural Competency/Humility, Immigrant and Refugee Mental Health, Trauma Informed Care Practice, and Emergency First Aid & CPR will be seen as assets.
- Minimum of two years of experience in a front-line, customer-first, administrative role.
- Ability to work effectively in a wide range of settings with individuals from diverse backgrounds. Bilingualism

(French/English) or proficiency in a second language would be an asset.

- Ability to prioritize work and multi-task while maintaining thoroughness and attention to detail.
- Remains calm and diplomatic, especially in high-stress situations.
- Strong interpersonal, time management, problem-solving and creativity skills.
- Ability to accurately collect, manage and report data to a direct supervisor on a regular basis.
- Flexible, self-directed, and able to work effectively with mínimal supervision.
- Team player who is capable of working independently.
