**Primary Responsibilities**:
**Executive Assistant principal functions**:
- Proactively creates and maintains effective workflow and communications to accomplish the work of the Director which includes the handling of a variety of projects and tasks simultaneously
- Co-ordinating the Director’s schedule, appointments and reservations - prioritizing appointments and proactively resolving conflicts
- Plan, organize and co-ordinate functions and special events
- Assist with the preparation of business presentations including text, overheads and electronic presentations
**Office Manager principal functions**:
- Maintaining neat and orderly office environment
- Manage office custodial services
- Handle employee on-boarding
- Facilitate / lead the Joint Health and Safety Committee
- Performing various administrative duties such as:
- Filing correspondence, proposals, reports etc.
- Typing letters for staff
- Assisting with administrative duties of proposals or projects
- Prepare information for courier pick-up
- Pick up and distribute mail
**Qualifications**:
- Previous experience in a senior administrative position
- Professional services experience is a definite asset
- Advanced skills in Word, Excel, Power Point and MS Outlook (mandatory)
- Extremely detail oriented
- Proven ability to effectively prioritize work flow
- Excellent interpersonal, written and oral communication skills
- Ability to exercise good judgment, show initiative and be proactive
- High standards of ethics and confidentiality to handle sensitive information
