Executive Assistant

L'assistant(e) de direction a un rôle principalement opérationnel/administratif et fournit un soutien administratif au vice-président régional du Québec, à l'équipe des cadres intermédiaires et au conseil d'administration régional.
L'adjoint(e) de direction gère les calendriers, les rendez-vous, les préparatifs de voyage, les rapprochements financiers et les remboursements, et participe à l'administration générale selon les besoins. L'assistant(e) de direction répondra aux courriels et à toute autre correspondance au nom du vice-président régional, le cas échéant ; il ou elle planifiera et gérera également deux rassemblements annuels hors site pour l'ensemble du personnel. L'assistant(e) exécutif(ve) soutiendra le conseil d'administration de la région du Québec en assurant la liaison entre les membres du conseil et le bureau régional, en organisant les réunions annuelles du conseil et des comités, en rédigeant et en distribuant les procès-verbaux des réunions, et en tenant à jour et à jour toutes les informations relatives aux membres du conseil.
Il soutient les membres clés de l'équipe de gestion dans leurs tâches administratives et leur permet de se concentrer sur la collecte de fonds et la conservation.
L'assistant(e) de direction veille au bon fonctionnement du bureau de Montréal, en s'occupant de la réception, du courrier, de la messagerie vocale, des fournitures de bureau et de l'équipement. Il/elle est le point de contact avec la société de gestion de l'immeuble du bureau, communique avec les fournisseurs de services et assure la liaison avec le siège pour accueillir les nouveaux employés et le personnel informatique.
**Responsabilités**
- Gérer les calendriers, les rendez-vous, les préparatifs de voyage, les rapprochements financiers et les remboursements de son supérieur immédiat.
- Gérer les besoins de la région en matière de technologie de l’information, mobilier et en équipement de bureau selon les besoins;
- Gérer les dossiers de la page du département administratif sur l’intranet de la région et tenir à jour la liste des employés;
- Organiser et planifier des réunions/événements/déplacements avec un minimum d’instructions;
- Révision, mise en forme et rédaction de lettres d’envois standards;
- Coordonner les rencontres et envoyer la documentation à présenter aux conseils d’administration.
- Responsable de la tenue des dossiers de toutes les activités du conseil et rédiger les procès-verbaux de toutes les réunions du conseil consultatif régional ;
- Assurer la réception, y compris traitement du courrier et les envois postaux;
- Être le premier point de contact pour les visiteurs ou les personnes qui appellent au bureau;
- Assurer l’efficacité et veiller au bon ordre du bureau et agir en tant que liaison avec la société de gestion de l’immeuble de bureaux;
- Maintenir l’inventaire de l’équipement et du matériel et communiquer avec les fournisseurs de services;
- Assurer la liaison avec le bureau chef en matière d’accueil de nouveaux employés et technologie de l’information;
- Préparer l’accueil d’un nouvel employé et aider à l’intégration des nouveaux employés de la région;
**Compétences requises**
- Maîtrise des produits Microsoft Office et capacité d'apprendre de nouveaux logiciels;
- Excellentes aptitudes en communication écrite et verbale, bilinguisme essentiel, rédaction impeccable en français;
- Aptitude à entretenir de bonnes relations de travail avec le personnel de CNC aux niveaux régional et national, ainsi qu’avec la clientèle externe;
- Proactivité - capable d'anticiper et de planifier les besoins futurs;
- Compétences organisationnelles;
- Capacité de travailler de façon autonome et en équipe;
**Formation requise** : Études techniques administratives ou juridique.
