Position: Facilities Administrator
Terms of Employment: Full-time, Permanent
Rate of pay: $50,000 to $52,500 per year

The Facilities Assistant is responsible for providing administrative and physical support to the Senior Manager of Facilities as required.
- Preparing and administering Rental Agreements & Catering Agreements by preparing contracts and monitoring contract terms and financial documents, preparing reports, and maintaining records.
- Providing support of office management services for the assigned facility.
- Liaising with members and staff, contractors, rental groups to coordinate client services in relation to operational and tenant requirements and associated concerns.
- Administer the room booking system for the Agency by providing information to internal and external room users.
- Provide tours of the building as required to external rental groups and contractors.
- Responsible for keeping all Rental Documents and Guides up to date.
- Develop and implement marketing initiatives for the department.
- Completing Environmental Scans of the building
- Complete scheduling and provide support to Rental Staff.
- Ensure training of protocols are completed to all staff, rental groups and visitors as required.
- Maintain a focus on safety for both room renters and staff, be proficient in Health & Safety protocols and be prepared to implement evacuation & emergency procedures.
- Ensure all rental spaces are prepared for occupants, including common areas. Set up directional signage strategically, manage and deliver catering orders when necessary and arrange and verify the functionality of AV equipment.
- Other duties as assigned/required.

**Education**:
Two years post-secondary education in Administration or Facilities. A high school diploma with 3 to 4 years of experience in a related field may be considered.
Other qualifications:
Strong verbal and communication skills.
Strong interpersonal skills to build relationships and respond appropriately to enquiries.
Strong organizational and time management skills, including ability to multi-task, prioritize multiple and competing activities, and respond to emergent issues with mínimal direction.
Strong decision making and problem-solving skills.
Experience and knowledge of technology including SharePoint, Microsoft, Booking apps, scheduling apps and AV equipment.
Availability to work flexible hours including mornings, evenings, weekends.
Ability to lift 25lbs and up.

First Aid and CPR
This is a full-time position. Monday to Friday, 8 hours a day including one hour of lunch break. May be required to flex hours including mornings, evenings or weekends.
Heavy lifting may be required. Repetitive day to day tasks. Standing for long periods at a time.
