**Job Title: Sales Coordinator (Bi-lingual), Global Hosting**
**Reporting to: Senior Sales Manager**
**About Us**
**Position overview**
This bi-lingual position will report to the Senior Sales Manager. **The position will be hybrid including working remotely from your home and from our Tapscott Road Location in Scarborough**. This position will be focused on business development and hosting coordination in territories as appointed by Vice President, Business Development & Global Hosting.
**Responsibilities**:
**1.** **Sales Support**
- Sales Support: Assist Sales Manager with market research, leads generation and initial qualification before passing pre-qualified leads to sales managers for designated territories
- Create and maintain sales reports
- Support Sales Manager with customer meetings and translation if necessary, and contribute to overall customer satisfaction by promptly handling inquires
**2.** **Hosting coordination and customer service in appointed territories**
- **2.1) Before Education Hosting**_
- **Documents Preparation**: Hosting Agreements, IT Agreements
- **Order Creation in EMS**
- **Updating Tracker** and ensure most up-to-date info
- **Invoicing**: Deposits, final payments, exams, makeups, privates
- **Send workshop notes** to Host Sites upon receiving final payments
- **Send required Paperwork** to Host Sites prior to Hosting begins
- **Travel Arrangements**:
a. Book flights;
b. Coordinate with sites about ground travel, hotel arrangements, domestic travel and international travel, etc.;
d. Connect ITs with Host Sites by setting up group chats;
e. Calculate expense sharing when ITs travel to multiple Host Sites in one trip;
f. Invoice **IT Expense** to Host Sites prior to IT departure;
g. Prepare **IT Brief** prior to IT departure
- **Follow up payments weekly**: Deposits, final payments, IT Expenses, exams, makeups, privates
- **2.2**_ _**During Hosting**:_
- Provide assistance to ITs during their stay hosting territories
- Provide ongoing assistance to Host Sites as required
**2.3** _**After Hosting**:_
- **Exams/Makeups/Privates**: Collecting post documentation and submitting to programming; coordinate and follow up with Programming on exam results
- **Paperwork**: Collect hosting Paperwork; follow up missing documents; enter into EMS and issue Completion Letters
- **IT Invoice**: Collect, annotate, and submit to Accounting
**Qualification Requirement**:
- Minimum 2 years of work experience in a sales administration or inside sales support role
- University degree is required
- **Bi-lingual, high proficiency in English and a required second language is a must.**
- Advanced user of Excel and other Windows office software; Skilled user for customer relationship management software
- Excellent interpersonal skills: can thrive in a team setting but doesn’t mind to take initiative to lead a project
- Superior attention to detail to ensure quality of work
- Must be comfortable with multi-tasking and able to manage your own schedule efficiently to fit into a client facing environment as well as internal stakeholders
- Result-driven, take challenges as learning opportunities with a can-do attitude
- Prior experience with international business is an asset
- Can legally work in Canada, open to full time in-office work or hybrid work
