Executive Support:

- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Coordinate and schedule meetings, conferences, and special events for the executive team/company
- Prepare and organize materials for meetings, presentations, and reports.
- Act as a liaison between executives and internal/external stakeholders, including clients, vendors, and other team members.
- Handle confidential and sensitive information with discretion and professionalism.

Administrative Support:

- Maintain accurate records, files, and databases for the executive team.
- Prepare and process expense reports, invoices, and other financial documents.
- Conduct research and gather information as requested by the executives.
- Assist with special projects and initiatives as assigned by the executive team.
- Prepare and coordinate venues, materials and catering needs for corporate meetings and events

Facilities Management:

- Oversee the day-to-day operations of office facilities, including maintenance, repairs, and cleanliness.
- Coordinate with external vendors and service providers for facility-related services, such as cleaning, security, and utilities.
- Manage office supplies inventory and procurement, ensuring adequate stock levels at all times.
- Identify opportunities for improvements in facility management processes and implement best practices to enhance efficiency and cost-effectiveness.

**Qualifications**
- 5+ years’ experience of Executive Administration, providing support to senior level management or relevant experience
- Office management experience an asset
- Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines
- Excellent communication and interpersonal skills, both written and verbal.
- Ability to work in a fast-paced environment, adapt to change and navigate continuously shifting requirements
- Highly proficient in Microsoft Word, Power Point, Excel, Outlook. Ability to create and edit documents, PowerPoint slide decks as per guidance provided;
- Ability to handle confidential information with integrity and discretion
- Detail-oriented with a high level of accuracy in work
- Proactive and resourceful problem solver with a positive attitude and strong work ethic

**Job Types**: Full-time, Permanent

Pay: $70,000.00-$75,000.00 per year
