**Working for the Department of Mechanical Engineering**

The Department of Mechanical Engineering offers students the opportunity to pursue an exceptional, high quality education in one of Canada's largest mechanical engineering departments.

**Working as an Administrative Assistant**

The administrative assistant role, reporting directly to the researcher, encompasses a wide array of responsibilities, including providing diverse administrative support with independent judgment. This position is integral to the Mass Timber Manufacturing Project and involves collaborating with the Principal Investigator. Duties include managing research project grant-related activities, handling purchasing and accounts payable tasks, managing human resources functions such as travel arrangements and expense processing, overseeing clerical and reception duties, and organizing scheduling and events, including appointments, meetings, and industry partnerships. Additionally, the assistant maintains files, demonstrates confidentiality and initiative, and assists with various other tasks as needed.

**Duties**
- Assist in proofreading reports/thesis/papers and other docs when required.
- Coordinate with suppliers on invoicing and take necessary action on discrepancies.
- Contact travel agent to arrange itineraries and book all hotel and rental cars related to the NSERC Alliance Grant Program, including those for visiting speakers, professors, etc.
- Provides online data entry and clerical assistance for processing all travel claims.
- Schedule appointments/meetings for research with staff, grad students and undergraduate students and industry partners
- Liaison with Industry partners and developments office with respect to meetings, inquiries, and requests for information, etc.
- Maintain the researcher's calendar.
- Make travel arrangements.
- Arrange meetings with Industry partners - Technical Advisory Meetings (local, national, international - booking, hotel, scheduling
- Arrange NSERC Alliance staff/student group events
- Maintain administrative, research, and personal files.
- Orient temporary support staff to job requirements.
- Liaison with the office space coordinator in relation to new staff and their staff/student requirements

**Minimum Qualifications**
- Grade 12 plus post-secondary training in office administration
- Computer Software knowledge (MS Word, Access, Excel, Outlook, PowerPoint, Internet)
- Expertise in project management and engineering disciplines
- Ability to multi-task and perform with accuracy/precision in a busy environment
- Editing and proof-reading skills
- Ability to coach and take a consultative approach to effectively interact with clients
- Well-developed management skills to meet deadlines and prioritize work effectively.
- Skilled at networking and building strong professional relationships
- Strategic thinker who can develop creative and efficient solutions.
- Comfortable working in a fast-paced, high-volume environment and able to manage projects.
- Ability to work independently with mínimal supervision

**Preferred Qualifications**
- Post-secondary education in engineering or a field closely related to engineering.
- Knowledge of the policies and procedures of the University of Alberta and/or bookkeeping skills are assets.
