**About Sophia Recovery Centre**:
Sophia Recovery Centre provides safe, welcoming spaces for women to overcome addiction and improve their substance use health through participation in programs that meet the unique needs of women. Our model of care layers highly accessible peer support with evidence-based structured group programs and social/wellness activities. These services meet women where they are, empowering and uplifting them to improve their health and wellness, and live a self-directed life and reach their full potential.

We currently operate centres in three locations: Saint John, Quispamsis (serving the Kennebecasis Valley, Sussex and surrounding communities) and St Stephen (serving Charlotte County).

**Location**: 238 Metcalf Street, Saint John (opening soon), including a flexible work model that supports a blend of in-office activities and remote work.

**Purpose**: Reporting to the Executive Director, the Administrative Coordinator is responsible for providing quality administrative support to the Executive Director and Business and HR Manager, Board of Directors and organization as a whole.

**Primary Duties and Responsibilities**

**General Administrative**
- Administrative support of day to day operations in the Saint John centre.
- Coordinate bulk mailings.
- Create and manage databases.
- Assist with the preparation of reports and other documents including writing, design, and proofreading.
- Assist with coordination of internal staff events.
- Order and maintain inventory of office and other supplies at Saint John and KV centres.
- Participate in staff and Board meetings and record minutes.
- Support the Executive Director and Business Manager in a range of administrative/HR services, including scheduling meetings and travel arrangements.
- Special projects and other tasks as assigned by the Executive Director.

**Donor Management and Engagement**
- Track incoming donations for the purpose of thank you notes and other recognition.
- Coordinate all donor communications.
- Plan and execute administrative tasks related to major fundraising events initiatives.

**Qualifications**
- Post-secondary education completion in a relevant field (eg. office or business administration)
- Relevant work experience within a not for profit, professional services firm, business or government agency

**Knowledge, skills and abilities**
- Strong interpersonal skills
- Strong oral and written communication skills
- Confidence and skill in interacting with the public
- Willing to regularly learn new programs and processes, and adapt quickly in a dynamic environment
- Ability to take ownership of tasks and drive them through to completion; ability to perform detailed work with accuracy and within tight timelines.
- Proficiency with Microsoft Office and Google Suite
- High degree of professionalism
- Project coordination and tracking skills
- Ability to exercise judgement, diplomacy and tact in dealing with confidential matters.
- Creativity and problem-solving skills to improve the organization’s operations and create new opportunities
- Proven team player

**Assets**:

- Experience working in a not for profit administration setting
- Knowledge of mental health, addiction and/or women’s equity.

**Job Type**: Part-time

**Salary**: $22.00-$27.00 per hour

Expected hours: 24 - 30 per week
