- The City Clerk's Office is focused on providing support to City Council and the Administration with regard to governance and legislation. City Clerk's is seeking client-focused, enthusiastic individuals to work as part of a team responsible for various legislated record keeping functions for the City of Calgary, including maintaining the integrity of the permanent record of City Council's decisions. Primary duties include:

- Receive the following materials for the Corporate Record, and ensure version control in both paper and electronic formats.
- Agenda materials created for meetings of Council and its Committees.
- Materials distributed, displayed, or shared during meetings of Council and its Committees.
- Confidential materials discussed at such meetings.
- Manage the full life-cycle of public and confidential council records in accordance with Freedom of Information and Protection of Privacy (FOIP) legislation and The City's Corporate Records Classification and Retention guidelines.
- Administer a corporate-wide workflow to ensure timely review of the status of confidential records and make those records public when their status changes from confidential to public.
- Maintain a registry to track the full lifecycle of City Bylaws.
- Ensure proposed bylaws have appropriate authorization before insertion into Council agendas and ensure that adopted Bylaws are properly executed by the Mayor and City Clerk and made accessible to the public.
- Maintain and consolidate all active and repealed Bylaws and respond to requests for certified true copies these and other Council records.
- Collaborate with various internal departments in the execution of a wide variety of City contracts and agreements.
- Assist citizens and internal clients with locating and accessing information contained in the Corporate Record.
- Participate in research, data collection and testing aimed at improving delivery of services.

**Qualifications**
- A completed 1 year post-secondary certificate in Administration or in a related field plus at least 5 years of administrative, contract review, records management or legal assistant experience OR
- A completed 2 year diploma in Administration or in a related field plus at least 3 years of administrative, contract review, records management or legal assistant experience.
- Experience must include the management and maintenance (adding, moving and configuring) of official records.
- An intermediate level of proficiency with Microsoft Applications (Word, Outlook, Excel, SharePoint, Teams) and Adobe are required.
- Experience with Livelink, Content Server and complex databases will be considered an asset.
- Strong communication skills, and comprehension of legislation/legal terminology are essential for success in this position.
