**The Position**
Digital Shovel is currently experiencing an exciting period of growth, and as a result, we are looking to add a highly organized and proactive Personal Assistant to support our team and ensure the smooth operation of various tasks and initiatives. This role requires exceptional attention to detail, excellent communication skills, and the ability to multitask effectively.
In addition to the above noted items, there will be miscellaneous personal assistant items, including running errands and such (during the above noted hours). **Responsibilities**:
**Administrative Support**:
- Take detailed and organized notes during meetings and discussions.
- Assist with running errands and handling personal tasks as needed.
- Maintain and update administrative policies and procedures.
- Perform various data entry duties as required.
- Undertake other administrative tasks as necessary.
**Task Management**:
- Follow up on tasks to ensure they are completed promptly.
- Assist in the preparation of regular reports.
- Update and maintain documentation throughout ongoing tasks and projects.
- Ensure teams adhere to provided timelines and deliverables.
**Communication and Relationship Building**:
- Communicate plans, actions, risks, and issues with key stakeholders.
- Solve issues as they arise and notify the appropriate stakeholders.
- Manage and build relationships with multiple teams.
- Assist management with the execution of administrative functions and processes.
- Manage day-to-day activities for the team.
- Produce progress reports.
**Travel Support**:
- Travel to tradeshows and events with management as needed (approximately 10-12 times per year).
**Qualifications and Experience**:
- A bachelor's degree in management, business, or an equivalent field OR a diploma with equivalent experience.
- 2-3 years of experience in an administrative project management-related role, with proven working experience in project management.
- Excellent client-facing and internal communication skills, both written and verbal.
- Solid organizational skills, including exceptional attention to detail and the ability to multitask effectively.
- Strong working knowledge of Microsoft Office, particularly Excel, and proficiency in Microsoft Office 365.
- Minimum of 2-3 years of experience as an assistant or in related positions, demonstrating impeccable organizational skills.
- Exceptional time management skills to handle multiple tasks and meet deadlines.
- Flexibility and adaptability to handle changes and shifting priorities.
- Strong communication and interpersonal skills to work effectively with teams and clients.
- Ability to handle sensitive and confidential information appropriately.
- Capability to quickly learn new systems, processes, and procedures.
- Strong initiative and follow-through with tasks or projects given.
**Job Types**: Full-time, Permanent
Pay: $50,000.00-$65,000.00 per year
