The Administrative Assistant, Finance provides a wide range of administrative assistance and support to the Office of the Chief Financial Officer, under the supervision of the Chief Financial Officer. The Administrative Assistant, Finance will deal with competing priorities and produce quality professional work products.

**What you’ll do**
- Manage the approval process of Vendor Awards Committee Reports, and purchase orders
- Oversee the sorting, scanning, and tracking of MPAC records and Property Tax Bills (Interim and Final), using detailed spreadsheets, ensuring data integrity and compliance. Prepare a variety of correspondences including memos, letters, reports, agendas
- Compile materials including information dealing with sensitive and confidential matters, City Council and various Committee materials, analyze data, prepare flow charts, spreadsheets, cheque requisitions, purchase order requests
- Order office supplies for Unit staff
- Schedule meetings and calendars
- Develop and maintain a comprehensive filling systems for the office of the CFO
- Respond to a variety of verbal and written inquiries from internal and external stakeholders, all levels of staff, etc on behalf of the CFO
- Research information and provide comprehensive information to internal and external stakeholders
- Provide and/or process personnel related issues, accounting and other support services related to the business of the office of the CFO

**What you’ll need**
- Minimum of 3 years progressive administrative experience or an equivalent combination of related work experience and post secondary education in a related field.
- Experience in using a variety of software packages, including MS Word, Excel, PowerPoint, Visio, and information databases
- Excellent customer service skills
- Superior time management skills, and ability to multi-task and deal effectively with competing demands
- Excellent oral and written communication skills
- Ability to communicate respectfully with tenants and staff of a variety of languages and cultural backgrounds
- Provide back-up administrative support in the absence of the Executive Assistant to the Chief Financial Officer and Treasurer, including management of unit staff attendance
