The Opportunity

Our Corporate Strategy & Power and Energy Solutions Group is looking to add an #energyproblemsolver as an Executive Administrative Assistant to primarily support the Vice President of Corporate Strategy & Capital Allocation, Separation Management Office, based in Calgary, AB.

Reporting to the VP, Strategy and Capital Allocation, this position is responsible for complex and confidential administrative assignments requiring a high level of professionalism, sense of urgency, and strong attention to detail. This position will interact with internal and external stakeholders, external agencies, the public, external service providers, and must demonstrate a collaborative approach to these interactions. The individual in this role must be comfortable working in a deadline-driven environment with constantly changing priorities.

What You’ll Do
- Partner with Vice President(s) and Director(s) to manage calendar, coordinate priorities and support expense reporting
- Assist with day-to-day administrative support for the broader team (including floor plans, on-boarding support, etc.)
- Support efforts to prepare, format, and coordinate presentations (using PowerPoint or internal databases)
- Take and publish meeting minutes per business needs
- Assist in the management of routine workflows between the Vice President(s) and department staff
- Anticipate needs of the Vice President(s) and broader team and actively seek out solutions
- Execute various processes for department, including organization and position management, utilize workforce and SAP software suites for requests and information management as well as department moves and office planning
- Complete timesheets and expense reports as required
- Handle highly sensitive and confidential information and issues in an appropriate and professional manner
- Direct sensitive issues to appropriate executives
- Manage information and reports including electronic filing as well as maintain critical filing systems, contacts and databases
- Maintain contacts and schedules for external Board commitments
- Plan and organize events as required for the department including venue bookings and/or catering
- Track and follow up on action items, invitations, correspondence and documents for signature
- Develop relationships and work collaboratively on tasks and deliverables with leaders and administrative staff in both Canada and US

Minimum Qualifications
- High school graduation (or equivalent)
- 10 years of related experience
- Proven experience supporting Executive Level resources
- Proven ability to understand business priorities and proactively anticipate needs
- Strong attention to detail and accuracy, resourceful, able to solve problems and find solutions to meet department needs
- Proven organizational, planning, prioritization, scheduling and time management skills
- Proficient in MS Office (PowerPoint, Excel and Word)
- Excellent written, proof reading and editing skills

Preferred Qualifications
- Post-secondary certification in administration from a recognized institution
- Proven ability to use unconventional approaches to solve problems when standard approaches are not effective
- Previous experience working in the energy industry
