Reception/administrative Assistant

Job Responsibilities:
**Reception**
- Welcome, greet and direct visitors to the appropriate contact
- Receive and send documents as required (interoffice mail, couriers, Canada Post), ensuring all incoming and outgoing mail, faxes, courier packages are distributed on a timely and accurate basis
**Administration**
- Maintain adequate inventory levels of coffee supplies (order and stock coffee room)
- Coordinate plant meetings (including lunch/coffee if required).
- Order office supplies as required
- Mail Statements at the end of the month
- Provide administrative support to the Plant Manager and his Management Team
- Effectively coordinate calendars of Management Team
- Responsible for maintaining the Postal Machine
- Responsible for distributing inbound mail and coordinating outbound mail (i.e. Fed/EX or UPS)
- Customer invoicing.
- Maintain internal contact lists
- Invoicing (Generate invoice, credit notes, debit notes) and file daily
- PO Receiving (freight, paint gallons)
- Produce high quality reports and presentations
- Support respective Sarbanes Oxley compliance initiatives within the business unit
**Other**:
- Back up/Support for Customer Service as needed
- Participate in physical inventories when required
- Data Entry for Raw material
**Skills and Abilities**
- Ability to read, write, understand and communicate effectively in English
- Ability to perform basic mathematical functions
- Computer literate (Excel, Word, Outlook, Powerpoint)
- Accurate and detail oriented
- Pleasant and professional on the phone and in person
- Experience in calendar management and booking travel
- Experience collecting information to prepare reports and presentations for management
- This role has access to confidential information therefore a strong degree of responsibility and trustworthiness is required
- Must have a valid driver’s license and daily access to a vehicle
