Administrative Assistant

Assistant Job Duties:
- Help to Review, Process and/or oversee the processing of financial documents
- Prepare paperwork for client meetings
- Follow up on transactions until completed correctly
- Communicate with clients by sending statements when transactions have settled
- Check, correct and maintain a variety of financial and other business records and documents.
- Continuously update the current Contact Management System
- Create Excel reports such as Marta’s Passwords, Client Summaries etc.
- Answer the office phones and also book and confirm client appointments
- File completed paperwork and purge files periodically
- Use online access for forms, statements etc. from various companies
- Help organize, maintain invitation lists etc. for seminars and events
- Set up for and close down after client events
- Run reports on various aspects that may need attention
- Keep advisor compliant with the appropriate signatures and housekeeping items.
- Liaise with back office for processing paperwork
- Be proficient with Worldsource Datafile platform used to generate statements, pre-filled forms, forms, client data updates. Be proficient with Docusign.
- Communicate regularly with Mutual Fund Companies and Insurance Companies for information purposes.
- Attend recommended administration seminars
- Any other pertinent activity to keep the office running smoothly or which the owner requires
**Job Types**: Part-time, Fixed term contract
**Salary**: $20.00-$24.00 per hour
Expected hours: 25 per week
