- Job Overview _

The _**Administrative and Business Support Coordinator**_ plays a crucial role in supporting the day-to-day operations, ensuring seamless administrative and business processes. This dynamic position involves preparing payroll notes, maintaining records, supporting recruitment, managing lead databases, and contributing to marketing and business development initiatives.

We are looking for a motivated, organized individual who thrives in a fast-paced environment, takes initiative, and can work independently. Strong multitasking, communication, and organizational skills are essential for this role.
- Main Responsibilities _

∙ Prepare payroll notes and supporting documents for processing.

∙ Generate and review activity reports to ensure compliance

∙ Organize and maintain operational records, scheduling meetings, and managing calendars.

∙ Track and replenish office supplies to maintain smooth operations.

∙ Assist with onboarding by preparing documents, and scheduling orientations

∙ Support recruitment efforts by posting job ads, coordinating interviews, and managing applicant tracking systems.

∙ Use social media and online tools to research potential clients and customers and maintain and prioritize a database of leads.

∙ Input and organize lead data into Excel spreadsheets and CRM tools, monitoring data accuracy and creating summary reports for the team.

∙ Conduct outbound calls to leads to introduce services and follow up with leads and maintain detailed call logs for sales tracking.

∙ Coordinate with team to align tasks, facilitate meetings, and document action items.

∙ Draft sales pitches, proposals, and marketing materials.

∙ Manage social media accounts to boost brand awareness.

∙ Monitor and update project timelines and assist with financial tasks such as preparing expense reports and monitoring budgets.

∙ Perform additional duties as required.
- Employment Requirements_

∙ A university degree in Business Administration, or a related field (diplomas with strong relevant experience may be considered).

∙ At least 1-3 years of experience in administrative, HR, or business support roles.

∙ Strong communication and presentation skills, with a professional and polished demeanor.

∙ Proactive and solution-oriented approach to problem-solving; must be a collaborative team player.

∙ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and digital tools like Teams or Canva.

∙ Familiarity with social media platforms, CRM software, and HRIS systems is an asset.

∙ Fluent in both spoken and written English.

∙ Legally authorized to work in Canada.
- Compensation Package_

∙ $40,000 - $45,000 based on experience
