**Hamilton Road Business Improvement Area**:
The Hamilton Road Business Improvement Area (HRBIA) is here to support the businesses on Hamilton Road. The HRBIA is a non-profit organization committed to the continued success of its members through promotion and education, while participating in the marketing and beautification of Hamilton Road and maintaining and respecting the historical foundation.

**Our Mission**
is to develop, advocate, promote and invest in our unique community in areas of economic development, beautification,marketing, and promotion while honouring the rich history and cultural diversity of the Hamilton Road area.

**OVERVIEW**:
Hamilton Road Business Improvement Area is seeking an energetic individual to fill the role of the office Administrative Assistant:

- Work with the Executive Director on relevant tasks
- Assist with the development and updating of communication materials such as the monthly newsletter
- Assist committee chairs with implementing committee initiatives
- Assist with event planning
- Manage the communications database
- Record Minutes for meetings as assigned

**RESPONSIBILITIES**:

- Prepare for and attend monthly Board of Management meetings and record Minutes.
- Attend committee meetings of the BIA, record Minutes and action items.
- Maintain Hamilton Road BIA website using website content management system and the computer network using the WordPress platform (liaison with the BIA’s web host to ensure site is updated regularly)
- Maintain positive relationships with BIA members and other associates of the BIA.

Provide outreach, information and communications.
- Monitoring and reporting the maintenance requirements of public assets / streetscape
- Planning, tracking, implementing and reporting on special projects.
- Planning, marketing and executing BIA promotional events.
- Creation of promotional maps using Adobe Illustrator.
- When required, provide clerical/administrative assistance to the BIA Board and its

Committees.
- Assist with the management of Streetscape assets including gardens, planters, benches etc.
- Attend monthly meetings as directed
- Other duties as required.

This job is unsupervised at times. At other times, depending on situations or event management, you may be asked to work an extra hour or two or even certain days. You must be prepared to accept the demands for extra effort, as well as an appropriate work ethic during times when working independently.

**SKILLS and EXPERIENCE**:

- Excellent time management, providing accurate and organized service.
- Clerical office administration.
- Event planning and execution.
- Cordial and professional conduct in maintaining customer relations and service.
- Understanding of public spaces, public art; communicating with trades/contractors/suppliers
- Excellent oral and written communication skills.
- Motivated in the pursuit of excellence; discretion in prioritizing tasks and comfortable working independently.
- Problem solving resourcefulness with bureaucracy and changing circumstances.
- Preferred Valid Ontario Class G driver’s license and access to a personal vehicle for business purposes

**PREFERRED**:

- Computer with Microsoft Windows 10
- WordPress
- Adobe Creative Suite 5 (e.g. Photoshop, Illustrator)
- Norton Security
- Twitter, Facebook, Instagram experience and/or working knowledge
- The Assistant reports directly to the Executive Director
- The Assistant may also meet regularly with the Executive, track progress and performance objectives.

**WORKING CONDITIONS**:

- Office environment
- 20 hour work week
- Able to walk / move extensively around the Hamilton Road Area
- Event work, which may require lifting, hauling, etc.
- Attending some early morning or evening meetings may be required
