Role Summary
Key Responsibilities
Reception
- Open and close the office on an everyday basis, to be on duty at 8:30 am, and close the office at 4:30 pm.
- Greet and assist visitors, ensuring a welcoming and professional environment.
- Maintain and organize office files, documents, and correspondence, both in physical and electronic formats.
- Open mail received daily and create a log of payments received following the funds handling procedures; and distribute any invoices received in the mail to the appropriate manager for approval.
- Monitor and maintain cleanliness and presentation of the reception area to reflect a professional environment.
- Handle and redirect incoming deliveries and courier packages to the appropriate department or personnel.
Administrative Support
- Schedule meetings, coordinate appointments, and prepare agendas and meeting minutes for Diocesan Committees & Panels (Risk Management Committee, Audit Committee, CBR Committee and others as necessary)
- Provides Senior Staff with basic financial tasks, including data entry and voucher preparation.
- Complete assigned expense reports.
- Provide administrative support to the Episcopal Office and the Communications & Development Department as required.
- Assist in drafting and formatting documents, letters, and reports for internal and external use.
- Maintain accurate records of departmental activities, meetings, and communications.
General Office Support
- Provide general clerical support, including photocopying, scanning, and data entry.
- Assist in event planning and logistics for Ascension House-related activities, such as training sessions or workshops.
- Ensure adequate inventory of office supplies for the whole of Ascension House.
- Coordinate orders and verify delivery and invoices from suppliers.
- Prepare and distribute internal communications, such as memos, announcements, and notices.
- Act as a backup for other administrative staff during absences or peak workload periods.
- Manage the kitchen area, ensuring it is clean, stocked with supplies, and organized for staff use.
Other duties and responsibilities related to reception and administration may be assigned including involvement in projects as they arise from time to time.
Required Education and Experience
- Post-secondary education in business administration, accounting, or a related field is preferred.
- Previous experience in reception, administrative assistance, or a similar role.
- Basic understanding of accounting principles and financial processes.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with accounting software or financial systems is an asset.
