Intake Coordinator

Job locations: Scarborough, Thornhill, Mississauga, Oakville
As an Intake Coordinator, you will be responsible for managing the initial contact with clients, gathering and processing necessary information, and coordinating the intake process. You will serve as the first point of contact for clients and play a vital role in creating a welcoming and efficient experience.
Key Responsibilities
- Print and distribute assessment schedules.
- Prepare and print consent forms and intake questionnaires for claimants and assessors.
- Verify claimant identification and explain the assessment process.
- Facilitate consent form signing and questionnaire completion.
- Communicate effectively with clients, assessors, and other team members.
- Provide completed questionnaires to the assessor for review.
- Organize, scan, and securely store documents after assessments.
- Write a daily summary of activities and communicate with the back team.
- Ensure the office is clean and organized, and securely close it at the end of the day.
Qualifications and Requirements
- College diploma or equivalent (required)
- Previous experience in a medical, psychology, or administrative role (preferred)
- Driver’s License. Must be able to travel to different locations.
- Excellent organizational skills and attention to detail
- Ability to manage multiple tasks in a fast-paced environment
- Strong communication and interpersonal skills
- Experiencedealing with individuals in various mental and emotional states
- Ability to work in stressful situations, problem solve, and improvise
- Proficiency in using database management systems and office software.
- Ability to handle confidential information with discretion
Additional Requirements (preferred):
- Experience with diverse mental and emotional states: The applicant should have prior experience interacting with individuals facing various mental health challenges, such as anxiety, depression, or stress disorders, ensuring they can handle sensitive situations with empathy and care.
- Ability to work under pressure and problem-solve: The role requires the ability to remain calm and effective in stressful environments, such as when clients may be agitated or confused. Applicants must be capable of improvising solutions, whether it's adjusting assessment processes or addressing unexpected client concerns, ensuring that operations run smoothly even under challenging circumstances.
For example, you may need to assist clients who have difficulty understanding the process or are nervous about the assessment, which is common in high-pressure environments like fast-paced medical or psychological clinics.
