**Position Summary**:
This position provides direct administrative support to the agency including reception.

**Key Relationships**:
JHSHBA Board of Directors, Executive Director, agency staff, clients, volunteers, students, vendors and other key stakeholders.

**Tasks, Duties and Responsibilities**:

- Prepare correspondence to be sent by mail or courier, manage incoming and outgoing mail
- Liaise and coordinate with vendors / contractors, attain quotes for projects, process invoices
- Receive and process payments (cash, credit / debit), prepare receipts
- Support staff to resolve technology issues, maintain accurate inventory of equipment and service requests, change back up disc on a regular basis (twice per week minimum)
- Coordinate service within key vendor agreements including office supplies, IT, phones, security, cleaning, office equipment, snow removal, utilities, building and property maintenance and repairs
- Create and post social media content, update website, creation of annual general report
- Direct communication with Board of Directors regarding meetings, trainings, provision of documentation, tracking attendance
- Support agency fundraising and special events, participate on internal agency committees, training and development, team and all staff meetings
- Work within and contribute to positive, inclusive, and safe work environment
- Coordinate orientation / onboarding for new staff and volunteers
- Other duties as assigned by the Executive Director or their Designate

**Qualifications**:

- Post secondary degree / diploma in a relevant field (office administration, business administration)
- Previous administrative experience within a not for profit / social service environment
- Strong communication, interpersonal, time management and organizational skills
- Computer and technology skills that support the position, including virtual platforms (Office 365, MS Teams, Zoom, social media, Canva, Adobe, WordPress)
- Able to multi task, manage a variety of projects simultaneously and prioritize workload according to urgency and timelines
- Sound judgement, problem solving and decision making
- Provide and maintain an acceptable police check
- Willing to meet requirements of mandatory vaccination policy or provision of valid exemption
- Language capacities in additional language(s) would be considered a strong asset
