**Responsibilities**:

- Provide administrative support to the Office of Research and its various units.
- Supports the Associate Vice-President, Research with administrative functions such as the preparation and logistics for meetings.
- Review and prepare assigned documents, reports, and other correspondence materials for members of the Office of Research, in particular the Associate Vice-President, Research.
- Prepare travel arrangements, with a keen attention to detail, for members of the Office of Research, when necessary.
- Review, evaluate and distribute all incoming and outgoing mail.
- Complete and review all expense reports, invoices, and other relevant finance documents for the Office of Research.
- Review and prepare assigned documents, reports, and other correspondence materials for the Office of Research.
- Provide administrative support to committees of the Office of Research, while ensuring governance requirements are met.
- Lead, coordinate or assist in events and activities organized by the Office of Research.
- Maintain a professional image and demeanor with all employees, management, executives, and visitors at all times.
- Maintain and monitor office supply inventory levels and place orders, as required.
- Manage and maintain the Office of Research website updated, either directly, or in communication with the Department of Marketing and Communications.
- Work closely with the Office of Research team to develop and distribute communications documentation, such as the e-Newsletter/e-Bulletin, annual report, announcements, etc.
- Other duties, relevant to the position, shall be assigned as required.

**Knowledge, Skills, and Abilities**:

- Data entry and keyboarding skills.
- Interpersonal communication skills, with the ability to communicate clearly in both written and verbal form with a strong attention to detail, grammar, and spelling is required.
- Experience within a post-secondary environment is a strong asset.
- Excellent judgement and the ability to maintain a high level of confidentiality and discretion in all interactions is required.
- Experience in working with a large degree of independence is required.
- Effective problem solving and troubleshooting skills are required.
- Ability to demonstrate competencies in the areas of professionalism, results orientation, organizational understanding, teamwork, flexibility/adaptability.
- Excellent time management skills. Must be able to prioritize and manage workload to meet the multiple demands of the position.
- Ability to be a team player.
- Satisfactory Criminal Records Check results.

**Education and Qualifications**:

- A diploma in administration or related field is required; a post-secondary degree is an asset; relevant experience will be considered.
- Minimum of five years of administrative experience is required.
- Experience with the development of communication outputs, such as e-newsletter, posters, etc. is strongly desired.
- Experience with maintenance of website pages and social media platforms is an asset.
- Records management training is an asset.
- This position is to be performed in-person and is primarily sedentary, requiring the incumbent to work in an office sitting at a desk. Minimal lifting of office supplies, boxes, etc. may be required. This position may also require the incumbent to walk between various buildings across campus, including the Ralph King building. This position requires some degree of flexibility in working hours to accommodate deadlines or work outside normal hours during events.
