The Office and HR Administrator at Volt Raceway will play a critical role in maintaining the efficiency and organization of the entertainment complex's operations. This position involves managing vendor relations, handling invoices, assisting with procurement and inventory, and ensuring the facility is well-maintained and equipped.

**Key Responsibilities**:

- Manage relationships with vendors and suppliers, ensuring timely payment of invoices and accurate record-keeping, as well as staying ahead of contract end dates to minimize service disruption
- Stay on top of all incoming invoices, verifying their accuracy, and coordinating payments with Accounting.
- Handle procurement for various items including marketing materials, helmets, uniforms, and other operational supplies.
- Maintain a clean and organized office environment, liaising with cleaning companies and ensuring regular maintenance, arranging pick-up and deliveries, and purchasing office supplies.
- Oversee the procurement and restocking of office supplies and operational materials. RMA any necessary items.
- Assist with inventory management, ensuring accurate records and timely reordering of stock.
- Organize fun activities and event for staff.
- Provide general administrative support to the VP of Operations and other senior staff.
- Schedule meetings and organize office files and documentation.
- Prepare and distribute meeting agendas, minutes, and other necessary documentation.
- Maintain CRM and client relation database (APEX) for accuracy
- Assist with building reports
- Assist with recruitment processes, including posting job advertisements, screening resumes, and scheduling interviews.
- Support the onboarding process for new hires, including preparation of orientation materials and coordination of training sessions.
- Maintain employee records and ensure they are up-to-date and accurate.
- Ensure that HR policies and procedures are followed and assist in updating them as needed.
- Support the implementation of workplace safety policies and procedures.
- Work with Manager to verify time worked for payroll processing
- Be the first point of contact for all employees and management
- Assist employees with administrative requests and provide support as needed.
- Handle customer inquiries and provide a positive and professional experience for visitors.
