**Key Responsibilities**
- Greet agents, clients, vendors, and tenants.
- Maintain a clean and tidy office space.
- Provide administrative support to agents.
- Handle incoming mail and accept and distribute deliveries.
- Remit payment to vendors and professional associations.
- Organize and submit quarterly business expenses.
- Create market evaluation reports.
- Create listing, lease and purchase agreements using Webforms.
- Preparing signing packages for clients and agents using DocuSign.
- Load and manage team listings on the MLS.
- Manage and electronically file transaction documents.
- Prepare client packages and gifts.
- Maintain office supplies and technology.
- Create and distribute marketing material.
- Create templates and draft various documents.
- Manage social media profiles and website.
- Manage client database and cultivate client relationships.
- Provide training and technical support to agents, clients and tenants.
- Purchase supplies, seasonal decor, gifts and other resources as required.

**Qualifications**
- College diploma (completion of a 2 year program) in office administration or other related discipline.
- Strong computer skills with significant experience in document management.
- Experience using Microsoft Office and Google Suite.
- Proficiency in relevant real estate software is preferred (Top Producer, Command, BrokerBay, Webforms, TREB).
- Excellent organizational and time management skills.
- A reliable vehicle and valid Ontario driver’s licence are required to perform duties outside of the office.
- Strong attention to detail and problem-solving abilities.
- Strong background in customer service, with the ability to deliver an exceptional customer experience to clients and agents.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Proficiency in the English language, both verbal and written.
- Prior experience in real estate administration is preferred.

Occasional after-hours work, including evenings and weekends are required.

Applicants will be asked to participate in personality testing as part of the hiring process.

**Salary**: $20.00-$25.00 per hour

Flexible Language Requirement:

- French not required

Schedule:

- 8 hour shift
- Day shift
- Monday to Friday
- Weekends as needed

Work Location: In person
