- Ability to organize logístical components for meetings and special events
- Ability to multi-task and set priorities as needed

**Assets**:

- Previous Municipal experience
- Experience in Community Services
- Experience with research and data compilation
- Experience in Asset Management
- Knowledge of project management, recreation and department/ corporate software (Smartsheet, ActiveNet, Teams, FMW, e-Scribe, Jostle)

**Duties**:

- Provide effective and confidential executive and administrative support to the General Manager and Department Management Team including conducting research and preparing timesheets
- Attend division team meetings and prepare agenda and meeting minutes with actionable items assigned to individuals
- Track, prepare, proofread, and edit correspondence, reports, briefings, memos, meeting minutes etc. including adhering to accessibility standards
- Supports delivery of meetings and events, which may include researching and booking a venue, arranging set up (audio, tables, etc.), invitations, food, coordinating participants and scheduling
- Support department with policy and procedure review and research best practices
- Support department to seek grant opportunities and with grant writing and reporting
- Receive and code invoices for payment, support department budget planning (undertake or coordinate the preparation of relevant documentation, input budget data, analyze accounts) and monitor approved budgets
- Provide assistance with planning and on-site support for special events and public consultations.
- Support special projects as they arise within the department
- Administer Leisure Involvement For Everyone (LIFE) corporate financial assistance program including point of contact for applicants, determining eligibility, and financial reporting
- Lead the data collection for all Community Services Assets, act as Liaise with the Corporate Asset Management Team and ensure regular updates to departmental asset data is complete
- Assist in the analysis of business processes to optimize the Department’s business operations through continuous improvement
- Build and maintain relationships with internal and external contacts with an emphasis on building trust while ensuring effective public relations that sustain a positive image of the County
- Research department-specific continuing education opportunities for department staff and make recommendations to the Department Management Team. Register departmental staff for conferences and workshops including making travel and accommodation reservations
- Liaise with the County legal team, consultants and staff on behalf of the General Manager and Department Management Team
- Other duties as assigned

**Annual Salary Range**:$65,101 - $76,167 **(Job Grade 5 - Under Review)** 35 hours per week
