About L3Harris WESCAM
As a subsidiary of L3Harris Technologies and within the Integrated Mission Systems Segment, the WESCAM division develops the most advanced optical and sensor systems for global defense and military sectors, Homeland Security, Search and Rescue and Airborne law enforcement agencies. From long-range covert surveillance missions to search and rescue operations, our MX-series systems, and the mission systems solutions they are a part of, produce stabilized high-magnification electro-optical and infrared images from airborne, marine and ground based platforms, enabling our customers to see first and act first.
About the Role
This position reports to the Director of Operations providing administrative support to the Operations Management team at our Toronto site.
**Responsibilities**:
- Provide daily administration support to Operational Leadership
- Manage time, resources, work flow for various projects as required by managers
- Liaison between management and various internal and external entities, as required
- Draft correspondence for operational management and maintain a bring forward system
- Develop documents from handwritten notes some of a highly confidential/sensitive nature, with high degree of speed and accuracy
- Assist in the organization of major projects involving a number of operating groups
- Support a number of Strategic Objectives by updating files and holding the owners accountable for updates
- Responsible for the transfer of a number of financial, logistic and other documents to the appropriate function
- Work closely with external stakeholders on the organizing of company all hand meetings, departmental offsite(s) and other events as required
- Copy and distribute internal and external communications
- Coordinate internal meetings
- Liaise with security and various departments to coordinate visitor clearance
- Oversee all business catering needs on behalf of leadership
- Create and manage requisition documents in support of the business needs
- Coordinate travel arrangements as required for site leadership and Operations employees
- Assist leadership with processing Travel and Expense Reports
- Oversee compliance to training timelines and completion dates for site leadership
- Generate expense reports
- Coordinate and publish the monthly Operations newsletter
- Maintain site communication e-boards
- Other tasks as assigned
Recommended Skills and Experiences
- Minimum 3 years Business Administration experience working with a leadership team
- Proficient with Microsoft Office tools
- Knowledge in formal documentation formatting, filing and tracking techniques
- Strong organizational / time management skills with an ability to handle multiple tasks and effectively balance priorities
- A self-starter with strong ability to work independently with mínimal supervision
- Ability to maintain confidential and sensitive information with diplomacy
- Excellent interpersonal, communication, and problem solving skills
- Detail oriented
- Possesses strong decision-making ability
- Experience with organizing and coordinating formal meetings
- Knowledge of business travel & demonstrated experience in travel planning
