Overview

We are located in Langley BC and we are hiring an individual who would like to work in an interesting and steady-paced environment with some flexibility in work hours. This is an ideal position for an individual who is seeking a work/lifestyle balance. The hours are Monday to Thursday 9:00 - 3:00 with some potential additional hours as needed.

**Responsibilities**

This is a newly created position. The successful individual will be responsible to provide support for both the corporate entities and the Foundation. The position will evolve over time and includes both administrative activities and more complex operational functions.

The responsibilities include, but are not limited to, the following:
**- Administrative tasks**:

- office reception;
- meeting scheduling for the CEO and Operations Manager;
- managing and ordering office supplies;
- receiving and sending mail;
- filing and updating electronic / paper files;
- document scanning;
- managing couriers;
- meeting and agenda preparation;
- travel arrangements;
- banking errands; and
- other activities as required.

**- Complex Operational tasks include**:

- Website management for the Foundation, including website updates, letters to charities and other entities, etc;
- Organize and analyze Insurance coverage for all properties and liaise with insurance companies as needed. Tracking and preparation of reports to show payment schedules and other details;
- Review and track commercial and residential Strata minutes, fee increases, levies, and insurance coverage as required by the Strata companies;
- Assist with tracking maintenance, payments and rent for corporate properties;
- Prepare spreadsheets and reports, as required; and
- Assist Operations Manager with other duties as required. These activities will change on a daily and/or weekly basis.

**Reporting**

**Qualifications & Skills**
- Education - college level with a minimum of 5 years training & experience in an administrative position or similar;
- Sound knowledge of commercial/residential insurance as it relates to strata’s or other property management;
- Experience working with charitable organizations or donations is an asset;
- Excellent knowledge of computer software programs including Word, Excel and Outlook and website experience would be an asset;
- Excellent organizational skills and attention to detail is a must;
- Excellent written and oral communication skills; and
- Must be able to conduct work in a confidential manner and be able to read sensitive situations and act accordingly to achieve positive results.

**Job Type**: Part-time

Pay: $30.00-$35.00 per hour

Expected hours: 24 - 32 per week
