Executive Assistant

Manage the President’s calendar, providing Executive Assistant support as needed.
- Coordinate and organize all aspects of meetings (agendas, minutes, follow-up on action plans, etc).
- Prioritize and follow through on tasks to completion.
- Organize and maintain files using SharePoint, ensure templates such as letterheads, onboarding documents are up to date.
- General office maintenance support as required, organizing, and overseeing office operations and procedures.
- Greeting visitors, answering phones, and providing general support.
- Supervising the maintenance of office areas and equipment; ordering of office, kitchen and meeting supplies as required.
- Opening and distribution of mail.
- Record and maintain company staff directories.
- Management of Corporate commercial general liability, and auto insurance.
- Registration of all company vehicles, support the management of company fleet.
- Maintain Corporate Registry and Federal Corporate filling up to date.
- Provide administrative support to management and team members across all companies wherever required.
- Manage employee years of service recognition program.
- Manage personal tasks for the President and owner as required.
- Maintain confidentiality and discretion in all business dealings.
- Perform additional duties or special projects as assigned.
- Ability to support 2 locations with flexibility to work at either location, dependent on need.
**Qualifications and Experience**
- Minimum 3 years experience in an Administrator / Office Manager Role.
- Diligent in time management, and able to prioritize tasks based on levels of importance.
- Expert knowledge of Microsoft Suite programs including SharePoint, OneDrive, Outlook, Teams, Word, and Excel.
- Excellent oral and written communication skills.
- Strong problem solving and decision-making skills.
- Excellent organizational, time management and multitasking skills.
- Valid Driver’s License and ability to commute between 2 corporate offices regularly.
As an Executive Assistant, you will play a crucial role in supporting the executive team by providing administrative assistance and ensuring smooth operations. Your attention to detail, organizational skills, and ability to handle confidential information will contribute to the success of our organization. If you are a highly organized individual with strong administrative skills and the ability to multitask effectively, we would love to hear from you. We are searching for someone who has advanced knowledge of Microsoft Office, a positive attitude, and the ability to support 2 corporate offices: one in Leduc and one at the west end in Edmonton.
**Salary**: $45,000.00-$55,000.00 per year
