Our client is a well-established boutique financial services firm, looking for an Administrative Assistant, Mutual Funds and Life Insurance. The ideal candidate is an organized, detailed and self-motivated person, with experience in investment and life insurance products.
Process applications for insurance and mutual fund accounts.
Client account and policy maintenance, including track, follow- up, servicing and compliance process (Know Your Product).
Run life insurance quotes and collect and organize client information prior to submission.
Daily client account documentation review, transmission & follow through.
Enter & maintain current client information in data management system.

Assist and respond to client inquiries and requests, including email, correspondence and telephone communication.
Process client changes (address, banking, beneficiary, etc.).
Document client issues/changes in software.

Willingness to complete job-related training webinars as required.
Excel spreadsheets, product comparisons, as required.
Provide back-up for other office staff.
Assist with some aspects of the financial planning process.
Various aspects of general administration tasks and projects as required.

At least 5 years' administrative experience working with a financial advisor.
Knowledge of mutual and life insurance.
Excellent verbal and written English communications skills.
Highly proficient in Microsoft Office with intermediate knowledge of Word, Excel & Outlook.
Knowledge of Dataphile software or similar equivalent is an asset.
Knowledge of Naviplan or Conquest financial planning software is an asset.
Knowledge of Maximizer system (customer relationship management) an asset.
Admin experience with the financial services industry is an asset.
