Our client is a well-established boutique financial services firm, looking for an Administrative Assistant, Mutual Funds and Life Insurance. The ideal candidate is an organized, detailed and self-motivated person, with experience in investment and life insurance products.

Location : Burnaby, BC

Expected Salary Range : $50,000 - $60,000 per year

Responsibilities:

  • Process applications for insurance and mutual fund accounts.
  • Process mutual fund transactions (buys, sells, transfers, swps etc.).
  • Client account and policy maintenance, including track, follow- up, servicing and compliance process (Know Your Product).
  • Run life insurance quotes and collect and organize client information prior to submission.
  • Daily client account documentation review, transmission & follow through.
  • Enter & maintain current client information in data management system.

Case Preparation & Client Service

  • File Prep for client meetings, including materials, coordinating logistics for client meetings, including client statements, report generation.
  • Assist and respond to client inquiries and requests, including email, correspondence and telephone communication.
  • Process client changes (address, banking, beneficiary, etc.).
  • Track and update client forms as needed.
  • Book client meetings for scheduled reviews, as needed.
  • Document client issues/changes in software.

Webinars/Seminars & Marketing

  • Willingness to complete job-related training webinars as required.
  • Prepare seminar/client appreciation event presentations.
  • Prepare seminar/event materials as required (invitations, handouts).
  • Assist in organizing Seminars/Client Appreciation Events.

Other Duties

  • Excel spreadsheets, product comparisons, as required.
  • Provide back-up for other office staff.
  • Assist with some aspects of the financial planning process.
  • Monitor annual Continuing Education (CE) credits.
  • Personal business affairs, on behalf of the owner.
  • Various aspects of general administration tasks and projects as required.

Qualifications:

  • At least 5 years' administrative experience working with a financial advisor.
  • Knowledge of mutual and life insurance.
  • High level attention to detail and skilled at working efficiently and accurately with strong focus on task completion and administering follow-ups.
  • Excellent verbal and written English communications skills.
  • Good interpersonal skills, i.e. to work effectively with clients, industry personnel and co-workers.
  • Confident and tactful interaction with clients.
  • Strong organizational and analytical skills, with the ability to manage multiple priorities.
  • Must be resourceful and able to take initiative when needed.
  • Highly proficient in Microsoft Office with intermediate knowledge of Word, Excel & Outlook.
  • Knowledge of Dataphile software or similar equivalent is an asset.
  • Knowledge of Naviplan or Conquest financial planning software is an asset.
  • Knowledge of Maximizer system (customer relationship management) an asset.
  • Admin experience with the financial services industry is an asset.
