Administrative Support Specialist

Miller Law is a small, friendly, and busy law firm located in the Metrotown area.
We practice in the areas of Wills, Trusts, Estate Planning, Estate Administration, Corporate, and Residential Real Estate.
We are seeking a highly motivated Legal Administrative Assistant to join our busy office.
The ideal candidate is a confidential professional who takes pride in doing exceptional work and is self-motivated and enthusiastic.
We require someone who is highly organized, has strong attention to detail, an ability to work under pressure, and capable of multi-tasking.
Key Responsibilities:
- Answering and directing telephone calls
- Booking in-person and ZOOM appointments
- Greeting clients
- File opening, file maintenance, and organization
- Drafting incoming and outgoing correspondence
- Performing general office duties such as scanning, copying, and saving documents
- Liaising with our Lawyer, Paralegal, and Legal Assistants on file progress
- General administrative duties as required
- Maintaining a bring-forward system, monitoring, and responding to deadlines, extensions, and other time-sensitive matters
- Assisting with closing files
- Conducting searches on BC Online and LTSA
- Processing cheques, receipts, preparing client invoices, and daily deposits using a cheque scanner
**Requirements**
- A college diploma or legal certificate (legal experience considered)
- A minimum of three years of legal experience working in a law office
- Experience in probate, trusts, estate administration, estate planning, and corporate services
- Excellent interpersonal, oral, and written communication skills
- Ability to exercise sound judgment, discretion, confidentiality, and adapt to changing demands
- Ability to handle the volume of a small, busy practice
- Courteous and friendly interpersonal skills and telephone manners
- Exceptional attention to detail and ability to set priorities and meet deadlines
- Strong organizational and time management skills and an ability to multitask
- A passion for providing superior client service
- The ability to remain calm under pressure
- The ability to manage a high volume of work in a fast-paced environment
- A positive attitude with the willingness to learn
- The ability to work both independently and within a team
- Sound knowledge of Word, Outlook, and Excel
