We are looking for a highly organized and proactive Executive Assistant / Office Manager to join our team at VA Capital, a leading commercial mortgage firm in Montreal. This role reports directly to our president and founder. The selected candidate will be critical to assisting our executive team and ensuring the smooth operation of our office. The ideal candidate has 3 to 5 years in a similar position, demonstrates autonomy and proactiveness in a fast paced and start-up environment. We are located 321 De La Commune Street West, Montreal, QC. This role requires a full-time presence at the VA Capital office.

Responsibilities:


Executive Support:

  • Extensive Calendar management skills
  • Coordinating travel arrangements
  • Handling sensitive and confidential communications/documentation
  • Responsible for personal day to day tasks
  • Making daily operating payments and monitoring banking activity in collaboration with the controller
  • Preparing presentations, annexes and materials for Board of Directors and Impact Board meetings (quarterly) 


Office Operations:

  • Procurement of office supplies
  • Office layout and space planning
  • Driving team culture and planning team activities
  • Maintaining 3rd party relationships through high-end communication skills and channels
  • Marketing and communications (in support of the Marketing Director)
  • Manage office budgets, expense reports and invoicing.
  • Support the Underwriting team by maintaining CRM contacts as well as other daily administrative tasks
  • Build & document processes and standards to support the growth of operations


Required Skills and Qualifications:

  • 3-5 years of proven experience in a similar role, ideally within a fast-paced, dynamic environment.
  • Exceptional organizational and time-management skills, with a proven ability to prioritize and handle multiple tasks simultaneously.
  • Strong communication skills, both written and verbal, with an ability to interact effectively with all levels of staff and external third parties. The candidate is fluent in both English and French.
  • High level of discretion and professionalism in handling confidential information.
  • Proficiency in office software, including MS Office (Word, Excel, PowerPoint), and experience with or the ability to quickly learn project management and HR software.
  • A proactive, problem-solving mindset, with a focus on efficiency and continuous improvement.
  • A collaborative team player with a positive attitude and strong interpersonal skills.
  • Knowledge in Real Estate and commercial Real Estate Mortgage is a plus.

Responsabilités :


Soutien exécutif :

  • Compétences étendues en matière de gestion de calendrier.
  • Coordination des préparatifs de voyage
  • Traitement des communications/documents sensibles et confidentiels.
  • Responsabilité des tâches personnelles quotidiennes
  • Effectuer les paiements opérationnels quotidiens et suivre l'activité bancaire en collaboration avec le contrôleur.
  • Préparer des présentations, des annexes et des documents pour les réunions du conseil d'administration et du conseil d'impact (tous les trimestres).


Opérations de bureau :

  • Approvisionnement en fournitures de bureau.
  • Aménagement du bureau et planification de l'espace.
  • Conduite de la culture d'équipe et planification des activités de l'équipe.
  • Maintien des relations avec les tiers grâce à des compétences et des canaux de communication haut de gamme.
  • Marketing et communications (en soutien au directeur du marketing).
  • Gérer les budgets du bureau, les notes de frais et la facturation.
  • Soutenir l'équipe de souscription en maintenant les contacts CRM ainsi que d'autres tâches administratives quotidiennes.
  • Construire & documenter les processus et les normes pour soutenir la croissance des opérations.


Compétences et qualifications requises :

  • 3 à 5 ans d'expérience avérée dans un rôle similaire, idéalement au sein d'un environnement rapide et dynamique.
  • Des compétences exceptionnelles en matière d'organisation et de gestion du temps, avec une capacité avérée à établir des priorités et à gérer plusieurs tâches simultanément.
  • De solides compétences en communication, à la fois écrites et verbales, avec une capacité à interagir efficacement avec tous les niveaux du personnel et des tiers externes. Le candidat parle couramment l'anglais et le français.
  • Haut niveau de discrétion et de professionnalisme dans le traitement des informations confidentielles.
  • Maîtrise des logiciels de bureautique, notamment MS Office (Word, Excel, PowerPoint), et expérience ou capacité à apprendre rapidement les logiciels de gestion de projet et de RH.
  • Un état d'esprit proactif et axé sur la résolution de problèmes, avec un souci d'efficacité et d'amélioration continue.
  • Un joueur d'équipe collaboratif avec une attitude positive et de solides compétences interpersonnelles.
  • Des connaissances en matière d'immobilier et d'hypothèque immobilière commerciale sont un plus.
