Job Summary / Purpose of the Position

  • Provide support to the business owner to facilitate well-being of the clinic
  • Ensure that the production schedule is full and efficient
  • Manage all office administration responsibilities as per laid down procedures
  • Monitor and ensure that all billing activities are properly carried out and actioned
  • Ensure that all clinic positions are staffed by suitably qualified and experienced personnel
  • Prepare reports and analysis for business owners to make best business decisions
  • Ensure that monthly collections of outstanding Invisalign payments are made and accounted for
  • Ensure that staff morale is high and productive
  • Ensure that the customer experience is positive generating return appointments and positive reviews
  • Be proactive in implementing processes and protocols to increase the efficiency and productivity of the clinic
  • Ensure timecard for staff is properly done with correct clock in/out times


Position Responsibilities

  • Provide clear direction for the front desk team members; implement agreed administration strategies and provide supportive functional leadership
  • Set-up office appropriate operating guidelines and procedures after consultation with the business owner; monitor and update when necessary
  • Manage all staff scheduling related to upfront coverage ensuring coverage available when needed according to laid down instructions
  • Manage all doctor scheduling according to clinic needs and laid down instructions
  • Resolve all customer complaints such as billing issues in a timeous manner liaising with business owner, if necessary
  • Ensure that the business owner is informed of all happenings in the clinic, at all times


Qualifications

  • 2-years’s work experience with exposure to a busy customer service environment
  • Clinical dental background preferred
  • Well-groomed, friendly disposition and welcoming style
  • Intermediate computer skills
  • Experience Tracker Dental Software an asset
