Administrative Assistant

Tri-Phase is an environmental and construction company that is located in Mississauga, Ontario. We provide numerous services ranging from demolition, soil and groundwater remediation to drilling.
We are looking for a motivated and enthusiastic individual to join our team as an administrative assistant.
The job responsibilities include but are not limited to:
assisting project managers and estimators on a day to day basis to prepare and send out estimates and quotes
assist with all Requests for Proposals (RFPs) including RFSQs, RFQs, etc.
source new leads for the business through company's contacts and websites
prepare files as required for leads and projects
prepare billing for clients based on pre-approved rates as well as time and material unit rates
coordinate with vendors and trades
prepare start-up documentation and ongoing documentation for clients
find lodging and stays for workers
utilize our project management software to complete all required information for leads and projects
prepare written proposals for certain jobs and leads
ensure documentation for projects are up to date and contain all required information
maintain hard copy and electronic filing system
resolve administrative problems and inquiries
prepare and modify documents including correspondence, reports, and emails
Job Skills:
Proven organizational and time management skills
Must be personable and maintain a high level of professionalism and confidentiality
Strong Attention to detail
Must be proficient in Microsoft word and excel
Must have excellent written and communication skills
