Tri-Phase is an environmental and construction company that is located in Mississauga, Ontario. We provide numerous services ranging from demolition, soil and groundwater remediation to drilling.

We are looking for a motivated and enthusiastic individual to join our team as an administrative assistant.

The job responsibilities include but are not limited to:

  • assisting project managers and estimators on a day to day basis to prepare and send out estimates and quotes

  • assist with all Requests for Proposals (RFPs) including RFSQs, RFQs, etc.

  • source new leads for the business through company's contacts and websites

  • prepare files as required for leads and projects

  • prepare billing for clients based on pre-approved rates as well as time and material unit rates

  • coordinate with vendors and trades

  • prepare start-up documentation and ongoing documentation for clients

  • find lodging and stays for workers

  • utilize our project management software to complete all required information for leads and projects

  • prepare written proposals for certain jobs and leads

  • ensure documentation for projects are up to date and contain all required information

  • maintain hard copy and electronic filing system

  • resolve administrative problems and inquiries

  • prepare and modify documents including correspondence, reports, and emails

Job Skills:

  • Proven organizational and time management skills

  • Must be personable and maintain a high level of professionalism and confidentiality

  • Strong Attention to detail

  • Must be proficient in Microsoft word and excel

  • Must have excellent written and communication skills
