Role Description
This is a full-time on-site role for an
Administrative Assistant
at
Tarang Patel Mortgage Guy
. The Administrative Assistant will be responsible for managing day-to-day administrative operations, including handling client and bank underwriter communications, preparing and organizing mortgage documentation, maintaining client files, scheduling meetings, and supporting compliance requirements. The role also involves assisting with social media coordination, team training logistics, and general office management tasks.
Strong communication skills, attention to detail, and excellent phone/email etiquette are essential to ensure smooth workflow and professional client experience.
Key Responsibilities
- Manage day-to-day administrative operations of the office
- Communicate professionally with clients, lenders, and underwriters
- Collect, review, and organize mortgage documents from clients
- Prepare, upload, and track mortgage applications on lender portals
- Follow up with lenders for file status updates and conditions
- Maintain accurate and organized digital filing systems (Velocity/CRM)
- Schedule client meetings, team trainings, and follow-up calls
- Assist with compliance documentation and audit readiness
- Draft professional emails, letters, and internal communications
- Coordinate social media posts, newsletters, and marketing campaigns
- Support mortgage agents with deal packaging and submission prep
- Track and update deal progress, renewals, and closings
- Handle phone calls and respond to inquiries promptly and professionally
- Maintain office supplies, software subscriptions, and general admin needs
- Provide administrative support for special projects, events, and reports
