Wong & Liu Valuation Group Inc. is a professional real estate appraisal and advisory firm specializing in valuation, development consulting, and property tax services across Western Canada.
We are seeking a detail-oriented and proactive Office Manager / Bookkeeper to provide administrative, financial, and operational support to our growing team.
This position plays a key role in maintaining smooth day-to-day operations, ensuring accurate bookkeeping and reporting, and supporting the Principals in managing business functions, client coordination, and compliance.
Key Responsibilities
Administrative & Office Management
- Serve as the main point of contact for general office inquiries, scheduling, and communications.
- Manage correspondence, digital filing systems (SharePoint/OneDrive), and firm documentation.
- Coordinate meetings, prepare agendas, and track action items for internal and client calls.
- Assist with proposal preparation, engagement letters, and document formatting using firm templates.
- Support new employee onboarding, vendor setup, and maintain HR and company records.
- Ensure the efficient organization of digital assets, templates, and records across Microsoft 365.
Bookkeeping & Financial Administration
- Maintain accurate records of accounts payable, accounts receivable, and expense tracking.
- Record and reconcile transactions in accounting software (QuickBooks Online or equivalent).
- Prepare monthly financial summaries, cash flow reports, and bank reconciliations.
- Generate client invoices, monitor collections, and follow up on outstanding receivables.
- Manage payroll entries and coordinate with external accountants for remittances and filings.
- Track corporate expenses, GST filings, and credit card transactions for review by the Principals.
Operational Support
- Assist with quarterly and year-end reporting, budget tracking, and vendor payments.
- Maintain professional service agreements, insurance certificates, and licensing renewals.
- Support marketing and business development activities (e.g., updating contact lists, website info).
- Identify process improvements to enhance efficiency and ensure best practices across operations.
Qualifications
- Minimum 3 years of experience in office administration, bookkeeping, or operations coordination.
- Post-secondary education in business administration, accounting, or related discipline preferred.
- Proficiency with QuickBooks Online and Microsoft 365 (Excel, Word, SharePoint, Outlook).
- Strong attention to detail and ability to manage multiple priorities independently.
- Excellent communication, organization, and problem-solving skills.
- Prior experience in a professional services firm (e.g., real estate, accounting, legal, or consulting) is an asset.
Work Schedule & Reporting
- Standard work week: 37.5 to 40 hours, Monday to Friday.
- Reports directly to the Principals.
- Fully remote in the first three months and potential hybrid schedule in Q1 2026
Job Type: Full-time
Pay: $45,000.00-$50,000.00 per year
Work Location: Hybrid remote in Vancouver, BC V6C 3R1
