We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. Responsibilities
- Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professional phone etiquette.
- Oversee calendar management and schedule appointments for staff and leadership, ensuring efficient time utilization.
- Coordinate event planning activities such as meetings, training sessions, company events, and community outreach initiatives.
- Supervise administrative staff and provide training and development opportunities to foster a high-performing team.
- Handle vendor management by negotiating contracts, processing invoices through QuickBooks or similar bookkeeping software, and maintaining positive vendor relationships.
- Support human resources functions including onboarding new employees, maintaining personnel records, managing payroll processes, and assisting with employee benefits administration.
- Maintain accurate filing systems, perform bookkeeping tasks, assist with budgeting activities, and ensure compliance with office policies and procedures.
Requirements
- Proven experience in office management or administrative roles with clerical or office experience.
- Demonstrated supervisory experience with the ability to lead and motivate a team effectively.
- Proficiency in QuickBooks or comparable accounting software for bookkeeping and payroll processing.
- Strong organizational skills with the ability to manage multiple priorities simultaneously while maintaining attention to detail.
- Excellent communication skills—both verbal and written—and professional phone etiquette.
- Experience in event planning, vendor management, calendar management, and scheduling tools.
- Knowledge of human resources practices including onboarding, training & development, and employee relations.
- Familiarity with medical office management or healthcare-related administrative functions is a plus.
