Job Summary

We are seeking a detail-oriented and proactive Administrative Assistant to support our team in a dynamic office environment. The ideal candidate will possess strong organizational skills and have a background in administrative tasks, customer service, and office management. This role requires proficiency in various software applications, including Microsoft Office and QuickBooks, as well as excellent communication skills to interact effectively with clients and team members.

Responsibilities

  • Provide administrative support to ensure efficient operation of the office
  • Manage front desk activities, including greeting visitors and handling multi-line phone systems
  • Perform data entry tasks accurately and efficiently
  • Maintain organized filing systems for easy retrieval of documents
  • Assist with bookkeeping tasks and maintain financial records using QuickBooks
  • Handle customer inquiries and provide exceptional customer support
  • Proofread documents for accuracy and clarity before distribution
  • Utilize Google Workspace for document creation and collaboration
  • Support office operations by managing customer records and appointments (if applicable)
  • Collaborate with team members to streamline processes and improve office efficiency

Experience

  • Previous administrative experience is required, with a preference for candidates with 15 years office experience
  • Expert with QuickBooks for bookkeeping purposes is a must
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Strong typing skills with attention to detail in data entry tasks
  • Excellent phone etiquette and customer service skills
  • Ability to manage multiple tasks simultaneously while maintaining organization
