**Position Overview**

As a Canstar Administrative Assistant, you will be the first point of contact for our company. You will attend to internal and external visitors, handle deliveries, deal with inquiries on the phone and face to face while creating a positive first impression, as well as assists administrative staff with overflow work, including database entry. You should be able to deal with emergencies in a timely and effective manner.

**Responsibilities**:

- Greet visitors and staff to the office
- Answer the telephone and direct the calls/messages in a friendly and professional manner as appropriate
- Order/maintain office supplies levels & equipment
- Manage incoming and outgoing mail and curriers
- Receive and record new jobs into our on-line Call Logs (accuracy is key to our success)
- Assign new job calls to our Canstar project managers based on call-rotation and our preferred project management listing
- Responsible for meeting Canstar Key Performance Indicators during office hours by hitting specific milestone dates for new job assignments through industry specific software XACT Analysis and Claims Connect platforms
- Responsible for uploading time sensitive Hazardous Material Inspection (HMI Reports) to our job files in our industry specific software;
- Distribute and track keys in hard copy binder and by online communication and job updates.
- Provide support with database entry and maintenance
- Document Filing/Scanning/Uploading
- Assist with building presentations using a variety of tools
- Prepare and distribute the company newsletter
- Assist with scheduling corporate events and internal meetings
- Assist with internal travel arrangements
- Assist with other internal projects as required
- Health and Safety_
- Ensure that self and others adhere to Canstar’s health and safety practices and procedures
- Ensure good housekeeping is kept to perform work safely and efficiently
- Understand safety policies and protocols
- Ensure that self and others on site are wearing all required PPE, when required

**Who we are looking for**:

- 2+ years of experience in a fast-paced administrative role
- 1+ years of experience working with at least one of the following: Strata/property management groups, Insurance, Construction, Carpentry or other trades and/or Restoration experience
- Excellent computer skills including Microsoft suite (Outlook, Word, Excel)
- Strong administrative and clerical skills
- Great customer service and interpersonal skills
- Extremely high level of attention to detail
- Strong and professional verbal and written communication
- Exceptional organizational and time-management skills
- Ability to multitask and prioritize in an ever-changing environment
- Skilled at working independently with mínimal supervision and taking ownership of tasks
- The ability to accurately type 60 words per minute
- Ability to maintain confidentiality is key

**Working Conditions**
- This position may reports out of the Coquitlam Head Office
- Monday - Friday, day-time hours. Some overtime may be required
